Business Administrator
to help keep everything running smoothly behind the scenes.
About the Role
This is a varied and rewarding role for a proactive and experienced administrator who can manage systems, stay organised, and handle sensitive communication with professionalism and care.
You will play a key role in the day-to-day operations of the service, including:
Onboarding new service users
: handling referrals, collecting key documents, liaising with families and support professionals
Taking incoming calls
: providing information, logging enquiries, and resolving queries with care and clarity
Booking additional days/sessions
for existing service users and maintaining accurate attendance records
Diary management
: scheduling meetings, staff appointments, assessments, and external visits
Finance Management:
Process, issue, and track
invoices
to clients/customers and manage incoming payments.
Manage
accounts payable/receivable
, ensuring timely reconciliation and payment.
Monitor and reconcile
petty cash
transactions and maintain accurate records.
Prepare and present monthly, quarterly, and annual financial reports.
Liaise with accountants for end-of-year accounts, audits, and compliance matters.
Implement and maintain internal financial controls, policies, and procedures.
Note-taking and minute-writing
for staff meetings, service reviews, and key discussions
Using and managing our online software systems
for care management, compliance, and communication
Maintaining accurate records
and supporting regulatory compliance (e.g. CQC documentation)
General administration support
including emails, file management, ordering supplies, and supporting the leadership team
What We're Looking For
We're seeking a confident, capable administrator who thrives in a fast-paced, values-led environment. You'll need to be proactive, professional, and able to handle sensitive information with discretion.
Essential Skills & Experience:
Minimum
2 years' experience
in a similar administration role
Strong financial experience
Prior experience in
health, social care, or education settings
(preferred)
Strong IT skills (Microsoft Office, Google Workspace, or similar software)
Excellent
verbal and written communication skills
Proven ability to manage
calls, scheduling, and documentation
effectively
Calm under pressure, with strong organisational and problem-solving skills
A natural team player who can also take initiative and work independently
