Our Yacht Services team works with clients, captains and crew, providing an efficient, informed and personal service. We provide a fast-paced, rewarding environment and opportunities to work with a variety of global clients formulating and delivering the most appropriate, long-term solutions for owners of both private and commercial yachts.

Job summary:




A permanent contract to support the yacht management team as well as assist the wider yacht services with administrative functions. The role is based in Malta and will work alongside the client services administrator.

Job accountabilities:



Managing the contract and payroll process from initial employment through to termination. Administering, approving and processing crew payroll, including social security obligations. Provide support with payroll payment processing, where required. Onboarding both new clients/yachts and underlying crew in accordance with the agreed procedures liaising with the Head of Crew Management. Issuing Employment Agreements in respect of new crew within 24 working hours of receipt of the required documentation/certification. Accurate recording of all crew data on Business Central and in the Document Management Systems, data cleansing where required. Liaising directly with Yacht Owners, Captains and Crew, efficiently handling day-to-day crew employment and payroll related enquiries, with regular contact at a minimum of once every month. Ensuring correct yacht, crew and professional indemnity insurances are in place and valid. Ensure crew are suitably qualified by collation and verification of certification against safe manning documents. Maintain valid crew certification and documentation in accordance with MLC and flag state requirements, insurance requirements and internal policies, with contracts in place for active crew at all times, or within 24 working hours of receipt of all required certification. Actively monitor and follow up on Yacht and Crew certificates close to expiry in respect of the portfolio of clients allocated to ensure compliance with MLC and flag state requirements, insurance requirements and internal policies, highlighting expired certificates of concern to the Head of Crew Management. Annual review of the Safe Manning document for each yacht, liaising with the Head of Crew Management and Yacht Compliance Officer to ensure it remains aligned to MLC requirements, insurance requirements and internal policies. Updating where necessary. Escalating issues to the wider yacht services specialists or management where additional support is required. Arranging crew related travel and recording crew leave, where required. Crew recruitment, where required. Consideration towards trusted partners and their services at all times. Supporting the wider Praxis Group in collating and maintaining information in respect of the yachts under management, for example: winter yard periods, Client/Captain feedback in relation to services. Facilitating discussions about the wider Praxis Group where relevant, and referring on to the relevant internal contact, for example: yacht management services, ownership queries and partners. Provide cover, where required, on cases when the wider Crew Team are absent. Provide training and support for the wider Crew Team, where required. Contribute towards the monthly crew management meetings. Other duties as may be required to ensure the smooth running of the department and wider Yacht Services division.

Minimum education and experience



Educated to A-Level standard or above Previous Crew Management experience required (>5yrs preferred) Yachting experience preferred, however not mandatory

Required skills



Proficiency in Microsoft Office (SharePoint, Outlook, Excel, Word, PowerPoint etc.) Good communication skills, written and face-to-face when dealing with Clients, Captains, crew and intermediaries. Comfortable in a fast-moving work environment with tight deadlines and diverse tasks. Attention to detail and accuracy.
