The Operations department is responsible for maintaining the properties that the company manages. Each Senior Estates Manager has a portfolio of properties that they look after, supported by an Estates Coordinator.



This role provides administrative support to one Senior Estates Manager or Estates Manager ensuring the smooth operation of the team portfolio in accordance with company procedures and industry best practice. This role is the first point of contact for the residents living in the properties within that team portfolio.





Key responsibilities include, but are not limited to:


Be the first point of contact on the telephone for residents / contractors / clients. Deal with routine matters and pass complex matters to the Senior Estates Manager or Estates Manager. Raising works orders for repairs / maintenance works required, based on report from latest site visit. Renew contracts and raise new contracts for contractors providing regular services, such as cleaners / gardeners etc. Preparation and distribution of documents to residents and property owners, such as mail shots, site visit summaries and monthly updates. Administer and monitor building insurance claims. Authorise or dispute routine invoices to be paid and escalate large or one off spends to Senior Estates Manager or Estates Manager. Arrange Annual General Meetings and prepare and distribute minutes based on the Senior Estates Manager's or Estates Manager's notes. Assist with the distribution of each development's annual service charge estimates and accounts. Assist with the recruitment of Estates Coordinators. Provide induction training to new Estates Coordinators, ensuring that all parts of the training plan are completed successfully. Attend the Head Office more frequently as required to provide increased supervision and support of new Estates Coordinators. Provide training to existing Estates Coordinators as required. Provide support to existing Estates Coordinators; being the point of escalation in relation to queries relating to general administration, company systems, processes and procedures that Estates Coordinators are required to undertake. Provide cover to for Estates Managers when their Estates Coordinator is on annual leave or absent. Provide assistance to the Associate Directors and Senior Estates Managers as may be required. Undertake specific tasks or projects as may be required. To work closely with the Operational PA's as and when required To work closely with other SECs Encourage strong working relationships throughout other departments and teams within the company. To bring the Estates Coordinators together as a team and develop their working relationships and support networks, encouraging a positive working environment. Undertake other general duties as required from time to time to assist in the success of Premier Estates.

What We Ask From You:




English GCSE level 4 (grade C) or above Maths GCSE level 4 (grade C) or above Experience as an Estates Coordinator or similar role for 18 months Microsoft Office, basic Polite telephone manner Strong organisational skills Able to prioritise a busy workload Able to work well independently and as part of a team Leadership skills Positive attitude Resilient Works well under pressure Takes pride in producing work to a high standard
