The postholder will be responsible for overseeing the logistical delivery of PRI's annual flagship conference, PRI in Person, working closely with external suppliers and event agencies to ensure timely and effective planning of all elements. Through direct oversight of the conference's implementation, the individual plays a pivotal role in supporting the achievement of the organization's strategic objectives.



Reporting to the Director of Events, this role will oversee the Event Manager and the Events and Sponsorship Associate and will be an integral part of the Marketing and Strategy team.

Core Responsibilities




Oversee the logistical execution of PRI's annual flagship conference, including budget and timeline management, contract negotiations, and the supervision of event agencies. Oversee RASCI for the event, allocating tasks and responsibilities to the team in line with personal strengths and considering development opportunities. Develop and manage event budgets, ensuring cost-effective solutions and alignment with financial objectives, while keeping the finance team informed of any significant changes or developments. Successfully manage internal and external stakeholders for the event, including our two key agency suppliers. Prepare requirements for quotes, appoint suppliers and check sustainability criteria, regularly liaise with them to deliver a successful event. Review and negotiate suppliers' contracts working collaboratively with the PRI legal team. Oversee the launch of the registration platform in collaboration with internal teams and external suppliers, troubleshoot as required. Oversee ticket sales, liaise with the Event Manager to keep track of delegate registrations and discounted tickets. In collaboration with relevant colleagues, coordinate the design and delivery of branded collateral, including staging, directional signage and sponsored materials. Provide support to the Head of Sponsorship in achieving key deliverables and objectives. Ensure the event runs smoothly onsite, coordinate with suppliers and support colleagues as required. Manage the evaluation process, reconciling budgets and other post-event wrap up activities. Provide oversight and management of direct reports. Support the Director of Events in delivering against the team's business plan and budget. Perform related duties as assigned, within your scope of practice.

Person Specification




Excellent project management skills, including the ability to design and deliver projects to tight deadlines, manage conflicting priorities, and apply appropriate standards and working practices. Proven experience in managing and collaborating with both internal and external stakeholders, including those at a senior level. Ability to manage end-to-end logistics of large-scale conferences/exhibitions (1000+ delegates) with budgets in excess of $1m. Good understanding of key suppliers such as venues, AV, stand contractors, etc. including experience of negotiating costs and contract terms. Well-developed people management skills (including providing feedback & challenge, coaching and developing individuals) Extensive experience in end-to-end event logistics management with a proven track record of delivering complex, multi-day international conferences Strong budgeting skills, with a proven ability to independently develop, manage, and monitor large event budgets, ensuring alignment with financial goals and the ability to make informed, data-driven decisions A collaborative and consultative approach to working with others and committed to fostering an inclusive environment. Very good project management skills, with experience in delivering multiple projects successfully, including directing both internal and external stakeholders and adhering to timelines. IT/Digital skills (Microsoft Office, project management systems and CRM) Excellent written and verbal communication skills.
