The Executive Assistant provides comprehensive administrative and operational support to the President , acting as a key liaison between the President and internal/external stakeholders. This role requires strong organizational skills, excellent communication, and the ability to manage a highly demanding schedule while maintaining a high level of confidentiality and discretion.
What You'll Do
Support Executive with Complex diary management across multiple time zones. Coordinate internal /Customer/Board meetings. Determine and prioritise diary commitments, as well as personal commitments.
Prepare detailed travel itineraries and arranging all aspects of business travel including off-site meetings, processing of visas, fast track and accommodations to ensure seamless travel. Ability to anticipate potential issues where possible.
Work closely with Internal and External Communication to coordinate press interviews, external speaking commitments, and employee communications such as strategic announcements, newsletters, and filming.
General administrative duties such as processing of all expenses, as well as approval of team expenses, travel, and Compliance requests for the Leadership Team. Including renewal of private club and business networking memberships, personal Board commitments, and arranging gifts for customers, employees and suppliers.
Plan and coordinate events, including meetings, conferences, employee townhalls, and social gatherings, ensuring smooth execution and logistical support such as arranging meeting rooms, technical requirements, catering and refreshments both locally and internationally.
Liaising with external lawyers, PR consultants, key customers, and airlines/hotel executives.
Inbox management - responding where needed and flagging priorities. Access and input confidential data in HR People Management application, Workday
What We're Looking For
5+ years of experience in an administrative or executive assistant role, preferably within a large organization or global environment/ C-level leaders
Ability to build strong relationships while working closely with key internal stakeholders, across all departments and regions.
Excellent communication skills are a must as you will be working with people across all areas and levels within the organization.
Must have the ability to work autonomously and be pro-active in the President's absence, when traveling.
Maintain a high level of discretion and confidentiality when handling sensitive information and correspondence.
Some personal work is required with occasional out of hours contact in emergencies.
High level of technical skills with windows-based software, including MS Word, Excel, PowerPoint and Outlook
