Purpose of the role:



To lead the coordination and execution of export projects by ensuring seamless communication across internal departments and external stakeholders. The role is responsible for driving project progress, aligning cross-functional teams, and ensuring that customer requirements are met on time and within scope. Acting as the central point of contact, the Senior Export Project Specialist plays a key role in maintaining project visibility, resolving challenges proactively, and supporting the international growth of the business through operational excellence and strong stakeholder engagement.

Key Responsibilities:



Export Project Leadership

Drive the successful planning, coordination, and execution of complex export projects -- ensuring all commercial, technical, and logistical elements are delivered in line with customer expectations and business priorities. Lead weekly meetings with SSG functional heads to maintain momentum, resolve issues, and escalate where necessary. Develop and maintain high-level project plans and trackers, ensuring clear visibility of progress, risks, and priorities across all active export initiatives. Monitor project risks, highlight potential bottlenecks, and implement mitigation strategies to keep deliverables on track. Ensure project documentation, timelines, and commercial terms are aligned and compliant with customer and regulatory requirements. Assist customers in preparation of technical and commercial documentation for tenders and quotations. Provide administrative and coordination support to the Business Unit Manager - International Healthcare as needed.
Stakeholder & Cross-Functional Coordination

Serve as the primary point of contact for internal and external stakeholders throughout the project lifecycle, ensuring clear communication, alignment of expectations, and prompt resolution of queries. Translate complex international customer requirements into actionable plans for internal teams, tracking progress and proactively managing dependencies. Build effective relationships with overseas partners and distributors, navigating different cultures, time zones, and commercial requirements with professionalism.

Skills and experience:



Essential Qualifications and Experience:

Minimum 4-5 years of experience in project coordination or management, preferably in an export, international sales, or technical product environment. Proven track record of leading cross-functional projects and engaging effectively with senior stakeholders. Experience working across multiple time zones and cultures. Strong understanding of export processes, logistics coordination, and customer documentation requirements (e.g. tender submissions, quotations, compliance paperwork).

Communication - Clear and confident communicator with strong written and verbal skills; comfortable interacting with senior internal and external contacts. Organisation & Attention to Detail - Skilled in maintaining structured project documentation and managing multiple concurrent tasks. Problem-Solving - Able to anticipate issues, propose practical solutions, and remain calm under pressure. Tech-Savvy - Proficient in Microsoft Office Suite (especially Excel, PowerPoint, and Outlook); experience with project management tools is a plus.
Other Requirements:

Strong sense of ownership and accountability for project outcomes. Willingness to work flexible hours to accommodate international stakeholders. Able to work independently as well as collaboratively in a fast-paced environment. Minimum of three office-based days per week (hybrid working model).
