Job Purpose

We are seeking a Senior Facilities and Travel Administrator to own our travel and administration processes. You will also be expected to support the Facilities Manager and building and services management, ensuring the office is secure, safe and meet the needs of the business and personnel that work in the office. Also, meeting legal HSE requirements.

Reporting lines and interactions

Hierarchically reports to Facilities Manager

Key Interactions (internally, externally):

  • Head of all entities (Genesis & T.EN) located in London, Milton Keynes & global offices.
  • Other Administration Support departments (P&C, Accounts, IT & Milton Keynes Admin).
  • Office Managing Agent, Landlord, Genesis Sub-tenants, and other building tenants (restaurants).
  • Clients.
  • Local Council and Metropolitan Police.
  • Contract Suppliers and Maintenance Contractors (Genesis & Landlord).
Typical background and experience required:
  • MS Word, Excel & PowerPoint skills (Intermediate to Advanced).
  • Possesses strong organizational skills (the ability to see the implications for the bigger picture).

Main Responsibilities:
  • Management of the Travel department (Genesis & Technip energies),
  • Organising Teambuilding events (booking restaurants)
  • Assist with the Office HSE (Training & Communication)
  • New Starters and Client\'s Office and Safety inductions
  • Mgmt of Archibus (desk booking tool)
  • DSE Assessment (Trainer)
  • Building\'s Chief Fire Marshal
  • Cover other team members\' absences (conference booking, invoicing, Reception and management of the office cleaners/catering teams.
Deputy to FM:
  • Assist in the maintenance of the building by performing contracted maintenance checks/repairs, planning key upgrades/improvements and callouts.
  • Assist in the office refurbishment and renovations (planning and coordinating, H&S requirements are met, monitor work performance and inspect completed work
  • Responsible for agreeing on contracts and providers for facilities services (security, cleaning, catering/supplies, stationery, archiving and kitchen equipment service agreements).
  • Assist in the mgmt. of the Admin department.
  • Assist in managing Genesis Sub-tenants (5th & 6th Floors).
  • Assist in the building Security (Security systems, Security Guards & ID badges)
  • Responsible for the Monthly Reports to Corporate Real Estate (Paris)
  • Assist to ensure Facilities meet government regulations and environmental, health and security standards.
  • Assist to arrange health & Safety training (FMs, FAs, etc.), and creating Personal emergency evacuation procedures (PEEP).
  • Networking and building relationships with key third parties (Managing agent/Landlord, Subtenants, restaurants, local council and the Met Police).
  • Assisting HSE dept. (H&S matters, Office Inspection and Audits)
