An opportunity has arisen for an exciting position to join the executive management team at St John's Approved Premises. St John's runs a large, approved premises for men, primarily for high-risk offenders being released from prison on license and supervised by the Probation Service. As part of St John's Approved Premises, the organisation also runs supported accommodation across Leeds via Compass St John's, this is through a contractual agreement with Leeds Local Authority.

St John's Approved Premises is an independently managed approved premises contracted to the Ministry of Justice, a charitable organisation working in partnership with the National Probation Service.

HOURS of WORK:

opportunity. 2 days per week/ 8 days per month. Days and times negotiable.

14,000

REPORTS TO:

Chief Executive Officer (CEO)

MAIN PURPOSE OF POST:

To be responsible for the overall management of the charity's finances in direct liaison with the CEO and the Treasurer of the Charity. Part of the Senior Leadership team.

INTERNAL CONTACTS:

CEO, Trustees and the staff group.

EXTERNAL CONTACTS:

Ministry of Justice, Leeds City Council, HMRC, Auditors, Companies House, Charity Commission etc.

KEY RESPONSIBILITIES:



1. Strong system knowledge with the maintenance and monitoring of effective accounting systems primarily using Xero software and Excel, for both St John's Approved Premises and Compass St John's Housing Project. In liaison with the finance officer.

2. Ensure organisation compliance with all internal financial control procedures.

3. Oversight to ensure all income and expenditure transactions are coded to the correct nominal codes and departmental codes for both St John's and Compass in liaison with the finance officer.

4. Payroll- to manage/administer/ oversight of the monthly pay in liaison with the finance officer. Collate timesheets, account for sickness absences and unsocial hour payments, relief staff payments. Work with the CEO/ hostel manager via the organisations financial control assurance procedure for monthly salary payments.

5. Ensure HMRC and People's Pension payments are accurately completed and adjustments made accurately.

6. Oversight of the monthly accounts (budget and income analysis), balance sheets, transactions for management accounts. Prepare and present these to the CEO monthly or as and when required.

7. Prepare and present management accounts for consideration of the Trustees at their board meetings.

8. Support and manage the annual external audit with our charities nominated Audit team to ensure compliance and timeliness for Companies House and Charities Commission.

9. Liaise with the CEO for the annual budget and securing of ongoing annual funding from the Ministry of Justice and Leeds City Council.

10. Oversight in the management of external contracts utilities, maintenance, cleaning suppliers and all other.

11. Monitor bank statements weekly and monitor month bank reconciliations.

12. Manage/ monitor supplier payments and administration of the charities banking in liaison with the CEO and nominated Trustee signatories.

13. Report any concerns to the CEO and nominated Trustee that require urgent attention.

14. To support and develop the finance officer in their role.

15. To contribute to the positive work environment in a pro-social manner for staff, residents and visitors.

16. Attend ay training courses as required for skills, Health and safety related and personal development

17. To promote inclusion and diversity to all staff and service users in line with the charities policies.

18. Such other duties as maybe required which are commensurate with the grading of the post.

Education and training:

Qualification by experience and formal qualification.

AAT qualification, minimum level 3, or any other formal qualification by an accounting body.

Relevant experience:

Minimum previous 3year experience in acting within a finance role in an organisation. Working as part of a team.

Essential knowledge and skills:

Previous experience of preparing and presenting management accounts.

In depth knowledge and experience of using Xero accounting software and excel.

Previous experience of preparing management accounts. Working with external auditors.
