Mission
As
Senior Groups & Events Coordinator
, you will support the Groups & Events Manager in maximising revenue across all hotel departments by ensuring the flawless planning, coordination, and delivery of group bookings and events. You'll be the key contact for clients, internal teams, and stakeholders -- always striving to exceed expectations and create memorable guest experiences.
Key Responsibilities
Operational Excellence
Manage assigned group/event bookings from contract to post-event billing
Coordinate all event logistics, ensuring timely and clear communication with relevant departments
Prepare tailored proposals, contracts, and proforma invoices for small meetings and events
Upsell additional services to enhance guest experience and revenue
Monitor and track event deposits, payments, and billing accuracy
Participate in daily ops meetings, group summary reviews, and pre-convention briefs
Lead on-site execution of events, acting as visible liaison and problem-solver
Send post-event thank you notes and gather feedback for continuous improvement
Support with VIP visits, client site inspections, and cross-department collaboration
Ensure timely closure of files and reconciliation of accounts
Customer Experience
Personalise every client interaction, anticipate needs, and exceed expectations
Handle client concerns effectively, escalating only when necessary
Promote the hotel's unique offerings and experiences
Support delivery of Melia's sensory brand experiences and customer journey initiatives
Health, Safety & Sustainability
Adhere to all health, safety, and evacuation protocols
Champion sustainable event practices and reduce waste during events
Support implementation of the hotel's Sustainable MICE initiatives
What we're looking for
University degree in Hospitality, Tourism, or related field
Minimum 2 years' experience in a similar role within a 4-5-star hotel (preferably MICE)
Proficiency in hotel systems (Opera, Outlook, MS Office)
Excellent organisation and communication skills
Fluent in English (additional languages are a plus)
Strong understanding of group coordination, event logistics, and guest service
Positive, proactive mindset with an eye for detail
Ability to stay calm and focused in a fast-paced environment
