Job Description

Crosfields School, is seeking a profoundly organised and effective coordinator to provide administrative support to our Senior Leadership Team.

Working pattern:

Monday to Friday 09:00 to 15:00. Term time, plus two weeks.

Interviews:

Please be aware, there is no fixed schedule for interviewing.

Senior Leadership Team Administration



Administrative Assistance: Provide comprehensive administrative support to the leadership team, ensuring smooth and efficient operations Calendar Management: Manage leadership calendars, schedule meetings, and assist in coordinating events to optimise time and resources Documentation Preparation: Prepare, review, and distribute documentation for the leadership team, ensuring accuracy and timeliness Project Tracking: Monitor the progress of leadership projects, manage timelines, and ensure that all deliverables are met according to the set deadlines Stakeholder Communication: Serve as a primary point of contact between the leadership team and internal/external stakeholders, facilitating effective communication and collaboration Internal Communications: Draft and distribute internal communications on behalf of the leadership team, maintaining clarity and consistency in messaging Role Evolution: Adapt to the evolving needs of the leadership team, with responsibilities developing and expanding as the role progresses

Compliance



Maintain up to date information on the ISI portal including pupil numbers and school calendar

Ensure the ISI Regulatory Tracker is maintained Arrange termly Health & Safety walks and track actions Maintain Gift Register and Third-Party Data Sharing Log Support any Subject Access Requests Minute termly Health and Safety meetings

Operations



Provide operational administrative support Act as one of the primary points of contact between parents and the School

Policies & Procedures



Maintain the master list and library of statutory and school policies, procedures and guidelines. Coordinate and track the review process, formatting and finalising documents. Update policies, procedures and guidelines on the School website and in ISI Teams folders

Governance



Administrative support to the Clerk to the Board of Governors Maintaining up to date listings on school website, Charity Commission and Companies House Ensure administrative arrangements for meetings are in place including scheduling, room preparation, catering Collate and distributing Briefing Packs for the Board of Governors and Committee meetings Co-ordinate Governor appointments, training, termly visits and the induction programme Ensure relevant internal communications and notices are forwarded to Governor
