To ensure in an organized and planned format the effective management of Kings Oak Capital's day-to-day operations and management under the group umbrella and direct the management teams in an efficient and respectful manner, whilst maintaining their budget goals and agreed projects, properties and departmental standards and productivity.

Supervise and develop the entire group's teams in all areas and consistently provide and develop an effective, efficient, enthusiastic and exceptional service excellence orientated team.

As the Head of Operations, you will be responsible for overseeing and optimizing the day-to-day operations of the organization. This leadership position requires a strong combination of strategic thinking, problem-solving skills, and operational expertise to ensure the smooth functioning of various departments and processes. You will work closely with the executive team to implement effective operational strategies, enhance efficiency, and drive sustainable growth.

Key Responsibilities:



Property Management:

Oversee the daily operations of residential and commercial properties, ensuring they are well-maintained and compliant with all relevant regulations.

Tenant Relations

: Serve as the primary point of contact for tenants, addressing inquiries, resolving issues promptly, and maintaining positive relationships to ensure high tenant satisfaction and retention.

Maintenance Coordination

: Schedule and supervise regular property inspections and maintenance activities, coordinating with contractors and service providers to ensure timely and quality work.

Financial Management

: Prepare and manage property budgets, monitor expenses, and handle rent collections. Provide regular financial reports to senior management.

Lease Administration

: Manage lease agreements, ensure compliance with lease terms, and handle renewals and terminations as necessary.

Strategic Planning

: Collaborate with the executive team to develop and execute the organization's operational strategies aligned with the overall business objectives. Identify opportunities for operational improvement and cost optimization.

Process Optimization

: Streamline and standardize operational processes across different departments, ensuring efficiency, accuracy, and compliance with industry regulations and best practices.

Budgeting and Resource Allocation

: Develop and manage the operational budget, allocating resources effectively to support operational needs. Monitor expenditures and identify areas for cost reduction while maintaining quality.

Performance Management

: Establish performance metrics, key performance indicators (KPIs), and targets for operational teams. Monitor performance regularly, provide feedback, and implement corrective actions to achieve and exceed objectives.

Cross-Functional Collaboration

: Foster strong communication and collaboration between various teams, including sales, marketing, finance, and logistics, to ensure smooth interdepartmental coordination and alignment of goals.

Risk Management

: Identify potential operational risks and develop plans to mitigate them. Implement business continuity measures to ensure operations can withstand unforeseen challenges.

Quality Control

: Ensure the organization maintains high-quality standards in all processes, products, and services, adhering to relevant industry regulations and certifications.

Technology and Systems

: Evaluate and implement technology solutions to improve operational efficiency, automate processes, and enhance data management.

Talent Development

: Recruit, mentor, and develop operational teams to build a skilled and motivated workforce. Provide coaching and training to enhance their performance and capabilities.

Reporting and Analysis

: Prepare regular operational reports for the executive team, highlighting key performance indicators and providing insights to support data-driven decision-making.

Apply professional, product or technical expertise

: Demonstrate the ability to apply technical, professional, or product expertise to real world situations.

To ensure the smooth, effective and efficient running of all aspects of the business & improve continuously

: Constantly assess and adapt current practices to perform a task better, faster and more efficiently

To successfully raise and promote the profile of the group by actively and positively taking ownership and contributing to all branding, PR, Sales and marketing agendas of the businesses.

Meet or exceed budgeted profit and margins for the group's property portfolio.

Possess excellent product knowledge and keep updated with the competitive market and new developments and trends in the market.

Possess excellent management skills and able to manage relations and situations with other managers, partners and suppliers.

Be stylish and appropriate in appearance according to the code of conduct and able to reflect the market position and brand image.

Qualifications:



Bachelor's degree in Property Management, Real Estate, Business Administration, or a related field.

Minimum of 3 years of experience in property management, preferably within the Greater London area.

Strong knowledge of property management principles, regulations, and best practices.

Excellent communication and interpersonal skills, with the ability to build and maintain positive relationships with tenants, contractors, and stakeholders.

Proficient in property management software and Microsoft Office Suite.

Strong organizational and multitasking abilities, with attention to detail.

Ability to work independently and as part of a team, with a proactive and problem-solving attitude.
