This role is responsible for leading high-level customer relationship management, building strong, strategic, and long-term partnerships with clients, tenants, contractors, and landlords. Working closely with the Lettings Manager, the postholder will take a proactive role in overseeing all property operations throughout the tenancy lifecycle, ensuring full legal compliance while delivering an exceptional standard of service that maximises satisfaction for both tenants and landlords.

The role demands a high level of accuracy and attention to detail, particularly in the management of company and client documentation, ensuring all records meet the highest standards of professionalism and compliance. In collaboration with the Lettings Manager, the role will provide daily support and expertise across the maintenance, lettings accounts, and sales teams to ensure smooth and efficient operations.

Additionally, the postholder will liaise with colleagues across other lettings and sales offices, supporting consistent service standards and best practice across the wider organisation.

KEY RESPONSIBILITIES:



1. Customer Relations Management



Drive and enhance relationships with key stakeholders, including high-profile clients, tenants, contractors, and landlords. Establish and implement policies to ensure high levels of satisfaction and proactive communication with all parties. Act as the primary escalation point for client concerns, facilitating timely and effective resolution of complex issues. Oversee and develop emergency response protocols, ensuring all client contact points are effectively covered and updated. Mentor and support team members in fostering strong, professional client and tenant relationships.

2. Advanced Property Management



Lead and manage the scheduling and execution of property inspections, maintaining compliance with legal standards and enhancing client satisfaction. Analyse and ensure accuracy of all landlord reports, delivering reports within agreed timelines and with a focus on actionable insights. Oversee efficient and accurate checkouts, ensuring processes are streamlined to maximise tenant and landlord satisfaction. Manage compliance standards for property safety, including gas safety documentation, and ensure timely renewals through strategic planning. Provide high-level property management support on ad hoc projects as required by executive leadership.

3. Maintenance Coordination and Optimisation



Oversee all maintenance issues, ensuring swift communication of property concerns to landlords and taking a proactive approach to resolutions. Direct and approve the procurement and management of estimates, repairs, and maintenance contracts, ensuring adherence to budget and quality standards. Implement and monitor streamlined workflows for works orders, authorising repairs, and driving efficiency from initiation through completion. Provide mentorship and guidance to team members handling maintenance coordination, ensuring best practices are consistently applied

4. Administrative Leadership and Compliance



Lead and refine administrative processes and systems, ensuring seamless daily operations and alignment with company policies. Implement and uphold high standards for documentation, overseeing the accuracy and professionalism of all records and administrative systems. Oversee budget management, ensuring all administrative activities are conducted in a cost-effective manner within set budgets and policies. Manage and approve contractor invoices, ensuring accuracy and timely payments through the software system. Address ad hoc requests from senior management, offering strategic solutions and ensuring team compliance with executive objectives.

5. Inventory and Documentation Governance



Supervise and enhance inventory processes, ensuring readiness and accuracy a minimum of 24 hours prior to move-ins. Establish strong vendor relationships, overseeing contractor compliance with company policies and verifying appropriate insurance coverage. Implement standardised inventory management processes to ensure that all documentation is precise, signed, and stored securely within required timeframes. Facilitate contractor onboarding and compliance with the company's contractor relationship policy. Audit documentation and procedural compliance regularly to maintain high standards and identify areas for continuous improvement.

6. Knowledge & Experience



Previous experience in customer face to face dealings Previous experience in telephone communication Excellent attention to detail The ability to meet deadlines Customer driven with a drive for results Evidence of team management and holding reviews

7. Training & Qualifications



3 GCSEs at

grade 4 or above

(or equivalent qualification) Hunters Academy Training endorsed by Propertymark (ARLA and NAEA) will be provided
Job Type: Full-time

Pay: From 27,000.00 per year
