As a Senior Reception and Administrative Assistant you will be joining the company at an exciting and compelling time.

Halliwell Homes is clinically informed practice encompassing educational, clinical and residential care services. Our objective is to enhance the psychological wellbeing of children within the care system through our Restorative Parenting recovery programme.
To support the company operations by providing high quality business and administration services reporting to the director overseeing business and administration. This will be an interesting and varied role for a skilled senior business administrator who would enjoy working in a busy and varied environment within the children's residential and education. The role requires a self-motivated and confident person who is comfortable working to multiple demands and priorities. The post provides a varied and interesting role for a well-motivated and customer focused individual dealing with a wide range of duties.
The main responsibilities for the role will include:
- To manage and keep up to date all company policies; to hold and lead regular policy working group meetings to ensure all policies are formatted correctly, reviewed and amended within the timescales.
- To provide support, train and supervise the reception and administrative assistant.
- Attend regular practice meetings with internal and external stakeholders representing Halliwell in meetings and note taking the meetings required.
- Be responsible for the maintenance of the archiving systems to comply with the Data Protection Act and GDPR.
- Be responsible for first point of contact with suppliers and contractors to support Head Office (e.g. confidential waste, sanitary waste, coffee machine and general maintenance) and liaise with the Health and Safety Manager for any work that is required to be audited, assessed.
- Attend and support any confidential meetings to support areas of the business such as Human Resources and act as a note taker.
- Adhere to confidentially and data protection.
- To manage and keep up to date the progress report check sheet.
- Regular review and renewals for contractors and suppliers and liaise with line manager when renewals are due.
- To complete regular walk rounds the head office premises to ensure the safety of building and liaising with the Health and Safety department for any work to be carried out
- To support all areas of the business with administrative support
- To support with any project work such as facilitating equipment for the business and support with expansion projects (ordering furniture, liaising with managers, contracts and suppliers)
- To ensure the reception area is covered between business core hours of 09:00 - 17:00 and in the absence of the Reception and Administrative assistant, act as the first point of contact for staff and visitors to Halliwell and delivery of a welcoming, professional and customer focused reception service at all times.
- To complete all responsibilities in the absence of the reception and administrative assistant
- Assisting with Administration tasks for other departments when necessary.
- To assist with any other ad hoc duties commensurate to the job role and pay scale, as directed by management

The successful candidate will have the following Qualifications:
- Good standard of Maths and English. English (GCSE C and above or equivalent)
- Holds a role relevant qualification in Business Administration or Office Administration (Level 3 and above)
- Willingness to complete the Halliwell continuous professional development staff training programme and other relevant training for profession
The successful candidate will have the following Experience/Skills:
- Extensive experience in Business Administration
- Extensive experience in Microsoft packages (outlook, word, excel teams and PowerPoint)
- Experience in supervising a team
- Experience working in a fast-paced environment.
- Experience in note taking
- Experience in policy writing, formatting
- Experience in facilitating meetings and arrangements
- An exceptional communicator at all levels in an organisation.
- Proactive and able to suggest improvements to business administration processes
