Job Description

PRIMARY FUNCTION







This position is responsible for supporting internal sales departments and Phillips' clients with the administration and client service activities relating to the safe and secure transportation of artworks worldwide. Based in London, this role supports our UK, US and Asia sales in the movement of pre-sale fulfilment.




DUTIES AND RESPONSIBILITIES





Prepare shipping estimates for all pre-sale property destined for London, Paris, New York and Hong Kong in a timely manner Prepare pre and post-sale shipping estimates for private sales transactions Manage and oversee global touring exhibitions (TravEx) projects Process import clearance instructions for all inbound property to the UK Proactive communication and inbox management to maintain internal services level and support specialist departments Process and advise on all export license applications and other legal documentation necessary for global transport from the EU Manage and coordinate large consolidated consignments for both air and ocean transfers Act as the key liaison for multiple internal sales departments and inbound deadlines at any one time Be proactive in assisting or troubleshooting any shipping matter for specialist departments and the shipping team Vendor management: ensure all third party shippers follow Phillips' standards Complete other ad-hoc duties as requested by the Head of Shipping, Europe



PROFESSIONAL SKILLS AND EXPERIENCE






Minimum 3 years' experience dealing with international art logistics and shipping (required) Complete working knowledge of and minimum 3 years' experience with import and export procedures including Temporary Admission and Customs Warehousing (required) Experience in a client facing role (required) Excellent written and verbal communication skills (required) Interest and working knowledge of Modern and Contemporary Art, (preferred) Experience with MS Office Suite and Outlook, (required)



EDUCATION AND TRAINING






Bachelor's Degree or equivalent work experience preferred

WORKING CONDITIONS






Work is undertaken at home, in an office environment and with frequent travel to the warehouse. * Ability to work a flexible schedule that may include evenings and weekends.
