wish to recruit a
CEO Services Administrator (Part-time 22.5hrs)
to provide administrative support to the CEO and project team leads across the organization, linking to the Finance function, as well as HR and Health and Safety.
:
General administrative tasks, data input, word-processing, spreadsheets, maintaining manual and electronic records, filing, photocopying, operation of office equipment and secretarial duties.
Facilitation of meetings, OCIA Board, including minute-taking, scheduling, circulation of documents and follow-up.
Reception and switchboard.
Human Resources activities including: recruitment, staff leave, sickness, contracts, equality monitoring returns etc, ensuring practice follows the Staff Handbook.
Maintenance of Health and Safety requirements and records, including fire safety drills, arranging inspections and electrical testing, in line with Oasis Health and Safety Policy.
Acquiring catering and materials, office supplies and cleaning materials.
Collation of information in relation to Insurance matters.
Participation in team Meetings, internal groups, and Board Meetings - participation in events and projects as required.
Supporting the operational needs of OCIA programmes.
Managing petty cash transactions.
Maintaining an excellent standard of written and spoken communication.
Maintaining the digital profile of OCIA, eg on our website, Facebook.
Essential Requirements:
5 GCSE's or equivalent
3+ years' experience in the use of Microsoft Office programs (Excel, Word etc)
3 years' demonstrable experience in a similar administration role in a busy office environment.
Experience of recording and maintaining records relating to maintenance of personnel, facilities, services and supplies.
Experience of liaising with and sourcing service providers and suppliers.
Experience of providing administrative support at a senior / organisational level.
Excellent communication (verbal and written English) and interpersonal skills.
Experience of maintaining databases.
Good numeracy skills.
Attention to detail and accuracy.
Positive team player and experience of successful collaborative working.
Proven track record of working to deadlines, and demonstrable ability to use initiative and time management and adapt to a heavy workload and interruptions.
Ability to utilise resources efficiently and effectively.
Flexible, tactful, diplomatic, enthusiastic and sensitivity to confidential matters.
Desirable Requirements:
Knowledge and experience in HR administration
Understanding of current Health and Safety requirements with practical experience of H&S implementation in the workplace.
Knowledge and experience of working in the voluntary/community sector.
Practical knowledge of GDPR requirements.
