Role Overview



We are seeking a proactive and detail-oriented Service Delivery & Contracts Coordinator to support the operational and contractual delivery of our services. This key role is responsible for managing all departmental administration, monitoring performance data, and ensuring accurate reporting across internal systems and client platforms.

Working closely with the business's management, you will assist in the coordination of service contracts, track engineer documentation, and support client communications. You'll take ownership of administrative processes, contribute to compliance and performance monitoring, and play a vital role in ensuring the smooth and efficient running of the department.

What you'll do



The following reflect the main tasks associated with the position and are not intended to be exclusive or exhaustive:

Support the business's management in the coordination of service contracts. Monitor KPIs and performance data across internal and client systems. Act as a key point of contact for clients, preparing reports, and maintaining strong working relationships. Take responsibility for all administrative functions within the department, including document control, data entry, scheduling, and internal reporting. Monitor and process administrative returns from the mobile engineering team, including time records, day work sheets, service reports, and certification documentation. Maintain and improve internal systems (e.g., CAFM), ensuring accurate data input, reporting, and workflow efficiency. Assist with cost tracking, invoicing, and preparation of commercial documentation. Support the identification and management of contractual risks, including issuing Early Warning Notices and maintaining compliance records. Identify opportunities to streamline processes, enhance service delivery, and contribute to departmental improvement initiatives. Liaise with internal departments including Service Centre, Operations, Commercial, and Health & Safety to ensure cohesive service delivery. Provide flexible support to Management and wider team as required by business needs.

What you'll bring



As a Service Delivery & Contracts Coordinator your main skills and experience will include:

Essential Criteria

Strong administrative experience in a busy, service-led environment. Experience liaising with technical teams or clients in the fire & security, automation, or gates industry (or similar) is advantageous. Excellent organisational and time management skills. Confidence working with data, systems, and client-facing communications. Proficiency in Microsoft Office and ideally experience with CAFM or similar platforms. A proactive, problem-solving mindset and attention to detail. Analytical thinking and ability to interpret performance data. Strong written and verbal communication skills. Ideally, familiar with facilities management or construction environment.
