The Role





The Share Plan Specialist is responsible for overseeing various share plans and award cycles, ensuring that all processes are executed with accuracy and efficiency. This includes preparing and validating grant load files, managing RSU/PSU vesting events, administering ESPP and UK SIP enrolments and purchases and preparing relevant employee communications. The role also involves delivering custom reports, conducting data integrity checks, and supporting both internal and external audits.



The Share Plan Specialist must engage in considerable consultation and collaboration with other functions, including Finance, HR, Payroll, and the Share Plan Administrator. Additionally, the role involves driving operational improvements and managing projects related to annual events, mergers and acquisitions (M&A), while continuously enhancing processes using best practice frameworks

Key Accountabilities





Contributes to the global HR strategy and plan to help drive the people agenda through business areas to ensure Reward and specifically equity practices and programmes are effective, compliant and market aligned Manages tactical plans and provides support to others to achieve positive results for the business in line with strategy Applies specific expertise to advise and guide others within the team, to ensure accuracy, good practice and adherence to prescribed standards Ensure that operational processes and/or individual transactions are appropriately executed and that files, documentation and related systems are properly maintained Work with HR, Legal and Finance Leadership to manage annual processes for the business to ensure effective and compliant application Implement and manage share plans and award cycles Support internal and external audits Manage share plans and award cycles Prepare and validate grant load files Oversee RSU/PSU vesting events and dividend distributions Administer ESPP and UK SIP enrolments and purchases Act as the first point of contact for the HR team and the business regarding Share Plan queries. This includes troubleshooting any issues or queries received from employees Deliver custom reporting, perform data integrity checks, and clean-up Support internal and external audits Manage pre-clearance and blackout windows Prepare/update regular employee communications (e.g. grant notices, vesting information, etc.) and deliver these to the relevant team(s) for sign-off and delivery Participate in projects tied to annual events, M&A, and operational improvements Continuously enhance processes using best practice frameworks




Knowledge, Skills and Experience





Technical expertise and extensive knowledge of share plan specific systems and processes Manage and oversee vendor engagements Manage implementation of relevant systems/ programmes Experience managing equity plans in companies trading in the NYSE Up to date and timely knowledge of relevant employment legislation Good understanding of best practice in the marketplace Understanding of both internal business drivers and industry dynamics Technical expertise and knowledge in relation to legal and regulatory requirements Relationship Management and influencing skills Tenacity and resilience Problem solving Ability to work independently and use initiative
