Role Overview
:
We are looking for an experienced, adaptable, and enthusiastic receptionist to undertake all duties necessary for the smooth running of the Shelter reception.
You will play an important role in providing a welcoming and professional front of house service both in person and on the telephone.
This role can be emotionally taxing, so the ability to remain calm and professional when dealing with distressing situations is essential.
A full manual driving licence would be useful, as occasional tasks may require driving of the shelter's van.
Key Tasks and Responsibilities
:
To assist with general reception duties including dealing with enquiries from the public by telephone, email and in person in relation to the shelter, the Branch, the national RSPCA and animal welfare
Completing and maintaining all necessary paperwork and computer records using our Animal Shelter Manager system including the following lists:
? Animals in our care
? Reserved animals
? Lost and found animals
? The records of all neutered and chipped animals
? Adoption and fostering information
Maintaining the diary for appointments, preparing all paperwork and packs for animals coming into our care and being rehomed
Ensuring all displays and posters are up to date
To serve visitors with items for sale from the shelter's shop and assist with maintaining the shop and leaflet stocks
Cashing up of the till at the end of each day and recording takings accurately
To assist with the preparation of fundraising events and activities at the shelter, and attend these as required
To maintain at all times the cleanliness and tidiness of the reception and waiting area
To maintain a professional attitude at all times when representing the Branch
To adhere to health and safety procedures, using personal protective equipment as necessary, and reporting any health and safety issues/concerns to the duty manager
To maintain branch confidentiality and observe all GDPR requirements relating to information accessed for the duties of the role.
Person Specification
Qualifications:
Educated to a minimum of GCSE level with Maths and English at Grade C equivalent or above
Essential
:
Previous customer facing/front of house experience
Must be able to work on own initiative and find solutions to challenges
Excellent communication skills both written & oral, in person and on the phone
Excellent planning and organisational skills, ability to prioritise work
Computer literate - good typing and keyboard skills with a high degree of accuracy and good working knowledge of Excel is essential
Outstanding customer service skills
Smart and professional conduct and appearance
A flexible and adaptable approach
Willingness to learn and acquire new skills
Enjoy working as part of a team
Honest, trustworthy and reliable and an excellent timekeeper
Ability to relate well to people from all backgrounds
A genuine desire to help achieve the aims of the Branch and a commitment to animal welfare
Full UK driving license.
Desirable
:
Previous receptionist experience in an animal welfare organisation/veterinary practice.
