Job Description

The Shift Leader is responsible for overseeing the operational activities of the warehouse during a specific shift, ensuring that all tasks are completed efficiently, safely, and according to company policies. This role involves managing a team of warehouse team leaders and associates, optimising workflow, handling operational challenges, and ensuring that production targets and quality standards are met. The Shift Manager acts as the point of contact for warehouse staff and works closely with other departments to ensure seamless operations.

Shift Operations Management:



Oversee all activities within the warehouse during the assigned shift, including receiving, stocking, picking, packing, and shipping. Ensure that warehouse processes are carried out efficiently and in compliance with safety, quality, and operational standards. Monitor and adjust workloads based on staffing levels and order volume, ensuring that resources are used effectively to meet targets. Ensure that all shifts start and end on time and that there is proper handover between shifts.

Team Supervision and Leadership:



Supervise and lead warehouse staff on your shift, providing guidance and support to ensure productivity and adherence to procedures. Organise and delegate tasks to team members based on skill level, experience, and workload requirements. Foster a positive work environment by promoting teamwork, open communication, and motivation. Conduct regular team briefings, including safety updates, operational goals, and any changes in procedures or expectations.

Performance Monitoring & Reporting:



Monitor key performance indicators (KPIs), including order accuracy, on-time shipments, inventory accuracy, and efficiency. Track progress against shift goals and adjust operations as necessary to meet performance targets. Prepare and submit shift reports, detailing operational activities, issues encountered, and performance outcomes to upper management.

Safety & Compliance:



Ensure that all warehouse activities comply with safety regulations, company policies, and industry standards. Conduct regular safety checks and audits to identify and address potential hazards. Ensure that all staff are trained in proper safety procedures, including the use of personal protective equipment (PPE) and safe handling of materials. Respond promptly to any incidents, accidents, or safety concerns and report them in accordance with company procedures.

Problem Solving & Conflict Resolution:



Address operational issues, such as delays, equipment failures, or inventory discrepancies, in a timely manner to minimise impact on productivity. Provide solutions to logistical problems, adjusting workflows or reallocating resources as needed. Resolve conflicts within the team, mediate disputes, and ensure a respectful and collaborative work environment.

Inventory and Quality Control:



Ensure accurate inventory tracking, including the correct storage, picking, and shipping of goods. Conduct periodic inventory counts and reconcile discrepancies as they arise. Maintain high standards of quality control, ensuring that products are stored and handled properly to prevent damage or loss.

Staff Development and Training:



Provide training and guidance to new and existing employees, ensuring they understand job responsibilities, safety procedures, and company policies. Conduct performance reviews and provide feedback on individual performance, offering coaching to improve skills and productivity. Promote continuous learning and development opportunities for staff to enhance team performance and career growth.

Collaboration and Communication:



Co-ordinate with other departments (e.g., inventory management, and logistics) to ensure smooth operations and the timely fulfilment of orders. Communicate effectively with upper management to report operational progress, challenges, and resource needs. Serve as the primary point of contact during the shift for any escalated issues or concerns from the team.

Equipment Management:



Ensure that all warehouse equipment, including forklifts, pallet jacks, and conveyors, are used safely and efficiently. Report any equipment malfunctions or maintenance issues and coordinate repairs or replacements as necessary.

Leadership Skills:

Strong leadership abilities to manage, motivate, and develop a team, ensuring high performance and morale.

Problem Solving:

Strong analytical skills with the ability to resolve issues quickly and effectively in a fast-paced environment.

Communication:

Excellent communication skills, both verbal and written, with the ability to interact effectively with employees at all levels.

Organisation:

Strong organisational and multitasking skills to manage a variety of tasks and responsibilities on the shift.

Attention to Detail:

A keen eye for detail, ensuring that processes are followed accurately and efficiently.
