Role Overview:



We are seeking a highly organised and responsive

Shift Scheduler and Client Manager

to manage staff placements, shift allocations, and client relations for our busy nursing agency. You will be responsible for coordinating healthcare staff across multiple sites, handling last-minute shift requests, and ensuring both client satisfaction and staff engagement.

Key Responsibilities:



Shift Coordination & Scheduling



Coordinate and allocate shifts for nurses, healthcare assistants (HCAs), and support workers Respond to same-day and urgent client staffing requests Ensure appropriate matching of staff to shifts based on skills, location, and client requirements Maintain up-to-date staff availability records and rota planning systems Communicate shift confirmations and changes clearly to staff and clients Monitor attendance, cancellations, and no-shows, and arrange cover when needed

Client Management



Act as a key point of contact for client facilities (care homes, hospitals, supported living) Build and maintain strong client relationships to ensure ongoing business and satisfaction Take and process new bookings efficiently and professionally Gather and respond to feedback from clients and escalate concerns when required Maintain accurate records of client preferences, requirements, and booking history

Compliance & Administration



Ensure all booked staff are fully compliant (DBS/PVG, training, references, right to work) Work closely with the recruitment and compliance team to maintain an up-to-date staff pool Maintain accurate shift and timesheet records for payroll and invoicing Ensure all scheduling activities comply with working time regulations and staffing policies

Essential Requirements:



Experience in shift scheduling, rota coordination, or recruitment resourcing within a healthcare/nursing agency Strong understanding of staffing needs in nursing and residential care environments Excellent communication and interpersonal skills Ability to work under pressure and respond to urgent booking needs IT literate and confident in using rota or CRM software ( Logezy) Highly organised with attention to detail and time management Willing to work on a shared on-call rota for out-of-hours shift cover

Desirable:



Experience in a nursing agency or healthcare staffing business Knowledge of Care Inspectorate Driving licence (preferred)

Working Hours:



Full-time, Monday to Friday Participation in on-call rota required (shared basis)
