Site Administrator (Fixed Term, Part time)

Role Purpose:



To oversee and coordinate the Enhanced Level 1 (EL1) vetting process on-site, ensuring compliance and accuracy throughout, while also supporting general administrative duties including minute taking, photocopying, and other related tasks.

Key Responsibilities:



Serve as the primary point of contact for individuals undergoing EL1 vetting. Manage all communication--both written and verbal--with applicants, prison service contacts, Shared Services Connected Ltd. (SSCL), and other relevant stakeholders. Monitor and maintain the progress of applications to ensure timely completion, proactively addressing any delays. Deliver regular updates and reports to the Site Team, HR Manager, and relevant customers. Assist the Quantity Surveyor (QS) with collating project-related information and documentation. Record and track site plant equipment using

AssetTagz

(training provided) to maintain accurate asset records. Manage site deliveries using the site booking

AC Matrix

(training provided) system to ensure successful and timely deliveries. Support with additional site-based administrative duties as required.

Key Skills and Experience:



Essential:



Eligibility and willingness to obtain Enhanced Level 1 (EL1) security clearance. Proven experience in a similar administrative role with strong all-round administrative capabilities. Proficient in Microsoft Office (Word, Excel, Outlook, etc.). Comfortable adapting to various systems, software platforms, and working processes. Excellent verbal and written communication skills. Ability to perform effectively under pressure with a positive, solution-oriented attitude. Self-starter with the ability to manage and prioritise multiple tasks. Strong time management and commitment to meeting deadlines. Flexible, proactive, and responsive to changing workloads and responsibilities. High attention to detail and commitment to accuracy.

Desirable:



Familiarity with GDPR, confidentiality, and data protection principles. Previous experience or knowledge of security vetting processes. Experience of

Fast Draft

would be beneficial but not essential, as training will be provided. Understanding of one or more of the following sectors: Construction and Building Civil Engineering and Groundworks Prison Services

Working Hours:



08:00 - 15:00
