Role Description
The HR/Admin Officer at Glasgow is responsible for providing comprehensive administrative support to both the human resources and operational functions. This position plays a crucial role in managing HR processes, ensuring compliance with legal standards, and supporting the smooth running of site operations. The HR Admin also facilitates formal investigations, health surveillance programs, and absence management.
Key Responsibilities
Human Resources
Liaise with People Services and Payroll teams regarding employee queries
Support the implementation of HR policies and procedures.
Coordinate training and development programs
Distribute internal communications, announcements and reports as required
Generate reports for management decision making
Drive & assist with all employee engagement activities
Provide support in Ethical Audits and Union meetings
Recruitment
Support the recruitment process by posting job adverts, screening CV's and assisting in interviews
Deliver the site induction to new starters
Formal Investigations
Support the HR Team in formal investigations related to employee grievances, disciplinary actions, and workplace incidents.
Document findings and prepare Investigation Summary report
Liaise with relevant parties to gather evidence and conduct interviews as needed
Health Surveillance
Coordinate and manage health surveillance programs, ensuring compliance with occupational health and safety regulations.
Organise health screenings.
Absence Management
Working with People Services, monitor employee attendance records, checking documentation and highlighting patterns or concerns to the HR Advisor/HRBP.
Ensure proper documentation for absences and ensure line managers are following the absence process.
Monitor the absence phone and report any absences to the Management Team
Support return-to-work processes and assist in developing reasonable accommodations for employees with health-related absences.
General Site Administration
Serve as a point of contact for site visitors and contractors, ensuring security and safety protocols are adhered to
Perform general administrative duties, including answering phone calls, managing correspondence, and maintaining office supplies.
Organise meetings, events, appointments and site tours when required
Support the site management team with various administrative tasks where required
Role Requirements
Qualifications
Proven experience in an HR or administrative role, preferably within a manufacturing environment.
Strong organizational and communication skills.
Ability to handle sensitive and confidential information with discretion.
* Proficiency in HRIS and MS Office Suite.
