Contract type : 6 month FTC (Temp - ongoing)

Role Summary




You will be responsible for coordinating and running events from student socials and parties to workshops, student recruitment events, and graduation. You will also assist other departments such as Academic Teams, Careers, and Student Accessibility in running events, and enable students to run their own events and activities on campus.


You will work with stakeholders across LCCA to ensure that the events calendar is maintained, and that events are planned, executed and evaluated to ensure that they meet OfS metrics as well as LCCA's strategic objectives for student participation and experience.

Key Activities & Responsibilities



Represent the college at events such as Open Days, UCAS Fairs, Inductions, Student Exhibitions, and Graduation. Plan, develop and deliver a high-quality annual calendar of digital and physical events which align with B3 Metrics and student feedback, meeting the needs of a wide-ranging student body who study across a range of modes. Make sure events are strategically scheduled to offer a balance throughout the year and that they align with the student journey and key transition points. Deliver a high-quality graduation experience for our graduands, ensuring that the ceremony is well organised and that you liaise with other relevant teams in the run up to the event. You will also manage the ceremony booking portal and issue ceremony invitations to graduates in a timely manner. Where graduates are unresponsive, you will need to contact them directly. Produce relevant materials for staff and students ahead of the graduation ceremony such as ceremony schedules, seating plans, and briefings. Collaborate with and support departments across LCCA to ensure that any events delivered by other departments are held to the same standards, ensuring a high-quality experience for student attendees and any external guests. Advertise college events via email communication, posters and other means as appropriate, e.g. flyers or class visits. Ensure that where external guests will be present, relevant paperwork has been completed and approved. Where external guests will be paid, follow college processes and ensure that relevant paperwork is completed and approved in a timely manner. Work with the Marketing and Production Teams to ensure that events are advertised, captured and featured across social channels. Engage students to feature across our social channels and to create content for our Marketing Team to use across materials such as prospectuses and digital testimonials. Ensure student feedback is collected from all activities and analysed, with the feedback and analysis shared with relevant stakeholders. Liaise with other GUS entities as appropriate to co-create events and present networking opportunities to students. Build relationships with external parties to enhance the value that we can provide to students through our events. Manage invitations and registrations, ensuring that any event registrations are GDPR compliant. Liaise with facilities, security, health and safety and other departments as required to ensure that events are appropriately staffed and compliant with H&S regulations. Complete a yearly Events review and analyse the effectiveness of the events led. Share the report with relevant departments and use it to inform the strategy moving forward. Complete any administrative tasks related to events, such as producing event briefs, maintaining a library of templates, sending follow ups after attendance at events, etc. Respond to communications in a timely manner and be professional in your conduct. Attend all mandatory training sessions and, if required, any additional training sessions relevant to the work you are completing. Undertake other reasonable tasks set by the Student Experience Team.

Qualifications



A degree or equivalent professional experience in higher education

Knowledge and Skills



An ability to work independently and in a team An ability to problem solve and work from your own initiative An ability to give and take instruction An ability to analyse qualitative and quantitative data and present this in an appropriate manner Excellent oral and written communication skills High levels of IT literacy and competency with student management systems and Canvas Knowledge of events management within higher education Awareness of GDPR Awareness of health and safety regulations for events

Experience




Essential:

Experience with events management Relevant industry experience Experience of working with students as partners to provide services or activities Experience working with stakeholders

Desirable:

An ability to nurture inter-departmental relationships to complete collaborative projects Experience with nurturing new relationships with external parties to deliver events Calendar management Project management experience
