Job Description

We are looking for an enthusiastic 'Studio/Office Manager' with a 'can-do' attitude to join our friendly architectural team at our attractive rural office located just outside Southmoor (near Abingdon), Oxon

Working approx. 26 hrs per week (to be agreed), the agreed hours are to be spread across a minimum of 4 days per week in the office. You will play a key role in ensuring the efficient running of our office supporting the team and the two Partners.

Role responsibilities will include, but not limited to:

'Front of house' business services

- first point of contact for staff, clients and visitors, ensuring a professional and friendly reception.

Office Administration

- provide support and administrative assistance to the team including managing the office calendar, scheduling meetings and organising CPD/training events.

Partner Support

- assist with high level administrative support and business planning activities.

Liaison with external suppliers

including our Accountants, IT support provider and Social Media Engagement provider

HR support

-assist with day to day HR functions including Annual Leave tracking, absence management, inductions & training, organising office social events, liaise with external HR consultant on Staff Contract matters etc.

IT

- responsible for day to day office and equipment issues including liaison with external IT Consultant

Quality Assurance

- help develop, maintain and internally audit Quality Systems within the Practice.

Premises

- oversee maintenance and management of office premises/facilities.

Finance

- timesheets, staff expenses, updating financial tracking documents and invoicing (experience with using Xero software would be desirable but not essential)

Marketing

- Assist with marketing activities and liaise with external Social Media Consultant (experience with 'Business Development' would be desirable but not essential)
