The Role:



Reporting into the Studio Producer the focus of this role is to support the Production team and wider studio team with all production admin and on set shoot assistance. This role is for someone that is flexible with a can do attitude. It would suit someone that likes to be busy as there will always be something to do in this role. You are going to need to have excellent admin skills as well as be comfortable on a busy photo studio set. Ideally you will have previous experience as a runner or studio assistant in a photo studio.



Please note this role is fully based in the studio 5 days a week due to the nature of the role.

What you'll be doing:



This role is responsible for supporting the Studio producer to ensure the seamless running of all day-to-day activities for the e-commerce studios including:

Studio & Shoot Co-ordination

Support the Senior Studio Manager and Studio Shoot Producer on all studio production to ensure smooth running of the studios. Support the Studio Producer with scheduling, including sending call sheets, chasing, plotting, and confirming freelance options. Be able to cover the Producer role when required. Ensure H&M references are included as informed by H&M team or Seniors. Keeping studio workflow management system up to date, including weekly plotting of teams and models. Update schedule changes due to advance planning or last-minute sickness. Perform studio team check-ins to ensure teams have everything needed for the day/week. Pre-empty studio orders such as consumables and H&M kits. Update studio teams when there is lateness and communicate plans from the Studio Producer. Communicate building-wide updates to ensure all teams are informed.

Model & Freelancer Support

Welcoming models and freelancers, ensuring they have everything they need during the shoot. Reporting studio team, freelance, and model arrival times; notify delays to the Shoot Producer. Keep communication channels open with Senior Studio and Casting Manager regarding arrivals and delays. Being the point of contact for model agencies and freelancers regarding queries and invoicing. Building relationships with on-set shoot teams and providing support where needed. Adding all freelancers and models into Bluepoint ahead of shoot days. Supporting the Senior Casting Manager and studio assistant on studio casting, model invoicing, & 915 kids shoots prep. Stepping in to cover sickness for the Stylist Assistant role.

Studio Prep & Maintenance

Day-to-day studio support, including steaming product and helping keep the styling wardrobe tidy.

Adhoc morning studio support:

steaming on set, general set-ups, and runner activities (snacks/lunches, last-minute purchases).

Ensuring prop storage is well organized. Ensuring general studio areas are kept tidy at all times. Completing required studio orders (props, stationary, kit orders). Support studio operations: sample deliveries, rail returns, etc. Support studio management on adhoc tasks outside of BAU.

Photography & Equipment Support

Sending out weekly painting requests. Checking with photographers if additional painting is needed. Communicating studio cleaning and moving equipment so sets are ready for external contractors. Supporting photography managers with equipment maintenance and admin, including kits rental and repairs. Sending off and tracking any repairs. Supporting the onset photography team with studio set-ups and take downs.

Admin, Finance & Vendor Management

Managing off-payroll admin, tracking trials, and ensuring POs are raised with time for approval. Setting up supplies and gathering required paperwork, following up as necessary, and communicating updates to Studio Producer. Managing the purchase order process, including keeping contracts and insurance policies organized. Processing and sending invoices for approval and maintaining a record of all costs. Maintaining the budget tracker with accurate calculations and data entry. Keeping track of studio invoices and flagging any build-up to ensure workload is managed weekly. Attending weekly/monthly budget meetings to ensure cross charges and costing are within budget and flagging areas of concern. Managing production accounts and expenses, including credit card spends. Setting up new vendors and managing form/legal requirements. Suggesting improvements to increase accuracy, efficiency, and cost reduction. Covering Producer admin during annual leave.

Who you are:



Confident communicator - friendly and approachable Happy to take on any task Experience creating presentations - PowerPoint/Keynote/ InDesign Has experience in a studio or similar environment Friendly and approachable Fast learner Experience in communicating with external parties Experience in excellent time keeping and keeping to strict deadlines. Ability to stay calm under pressure Highly organised and self-starter The willingness to demonstrate initiative PC Literate Excel Word and PowerPoint Previous experience in a similar role - photography studio Has an interest in social media - Tik Tok and Instagram - and can use to showcase some of the Studio work in a professional way Degree level qualifications preferred
