Purpose of the Role



Due to continued growth, Whyte & Ivory Ltd is seeking a

Supply Chain & Customs Admin

to support the Supply Chain & Customs Manager with the administration of logistics, customs compliance, bonded warehouse management, and sampling for our textile operations.

This position plays a key role in maintaining smooth and compliant import/export processes, accurate documentation, and efficient communication with logistics partners, ensuring the continued success of Whyte & Ivory's supply chain operations.

Key Responsibilities Customs & Compliance



Prepare and process import and export documentation, including EUR1 forms, Certificates of Origin, and T1/GMR forms. Support daily bond-to-FC clearances and multi-CPC export clearances. Maintain customs compliance and audit readiness at all times. Monitor duty rates and adjust unit landed values where necessary. Keep up to date with HMRC and Chamber of Commerce requirements. Maintain bonded warehouse records and assist with customs training and system updates.

Freight & Logistics



Coordinate with UK and international freight forwarders to arrange collections, shipments, and deliveries. Handle 3PL releases, pack lists, and Bills of Lading for the LLC and LTD businesses. Manage container follow-ups, track shipments, and ensure accurate paperwork is received and filed. Liaise with suppliers and logistics partners to ensure smooth flow of goods.

Order Processing & Administration



Process customer orders (LTD/LLC) and produce associated documentation, including packing lists, invoices, and specification sheets. Maintain and update EPOS systems and spreadsheets with order and shipment data. Support with scheduling, including sending weekly print schedules. Assist with sample cutting and continuity sampling for quality control.

Stock & Systems



Update and maintain bonded warehouse and stock tracking systems. Support monthly and annual stock takes alongside the operations team. Ensure accurate roll-level and batch tracking within systems. Assist with Excel tools, reports, and data entry where required.

Skills & Experience



Essential:



Previous administrative experience in logistics, supply chain, or export documentation. Strong Excel and Microsoft Office skills. Excellent attention to detail and accuracy. Strong organisational and communication skills. Ability to manage multiple priorities and maintain efficiency under pressure.

Desirable:



Experience in customs clearance or bonded warehouse administration. Familiarity with HS codes, Incoterms, and Chamber of Commerce procedures. Knowledge of ERP or EPOS systems (e.g., Sage, SAP). Experience in the textile or manufacturing industry.

Detail-focused and methodical. Strong communicator, both written and verbal. Reliable, proactive, and able to work independently. Adaptable and collaborative -- comfortable in a small, dynamic team.

Benefits



28,000 -30,000 annual salary. 33 days holiday per year (including bank holidays). Company closes over Christmas each year (paid). Eligibility for a yearly discretionary company bonus. Membership in the Employee Ownership Trust (EOT) after 6 months' service, including: One additional day's holiday for your birthday (if it falls on a weekday). Eligibility for a discretionary tax-free bonus of up to 3,500 (subject to company performance and trustee approval).
