Purpose of the post



Ensure that the people of Gwynedd are at the heart of everything we do. Provide high-level administrative support in the Support Service. To be committed to providing an effective and efficient Service and to contribute to enabling the Service to achieve its aims and objectives.

Responsibility for functions




Main duties



Deal with enquiries by telephone and e-mail professionally and positively. Ensure the appropriate distribution and implementation of the corporate postal processes - including opening, sorting, tracking and distributing etc. Record and process invoices. Implement ordering and invoicing processes effectively, correctly and appropriately. Implement other financial processes, e.g. Raising bills (debtors accounts), credit cards correctly, effectively and appropriately. Ensure that relevant goods/services are procured effectively and efficiently and that the relevant processes are followed e.g. office supplies, IT equipment, mobile phones, safety equipment/ clothes, travelling arrangements, hotels etc. Process various forms. These are examples only - Health and Safety HS11 Forms, Client Diary etc. Ensure the implementation of staff subsistence processes and systems. These are examples only - Time-sheets, Travelling Costs, Car Loans, Parking Permits, ID Cards, Eye Tests, Internal Directory etc. Implement the work experience procedure. Maintain databases. Undertake filing and tracking correspondence work, photocopying etc. Arrange meetings as needed. Maintain and develop systems. Provide assistance in keeping diaries as needed. Responsibility for self-development. Ensure compliance with Health and Safety rules in the workplace in accordance with the responsibilities noted in the Health and Safety at Work Act 1974 and the Council's Health and Safety Policy. Operate within the Council's policies in relation to equal opportunities and equality. Responsible for managing information in accordance with the Council's information management guidelines. Ensure that personal information is treated in accordance with Data Protection legislation. Commitment to reducing the Council's carbon emissions in accordance with the Carbon Management Plan, and to encourage others to act positively towards reducing the Council's Carbon Footprint. Undertake any other reasonable duty which corresponds to the salary level and responsibility level of the job. Responsible for reporting any concern or suspicion that a vulnerable adult is being abused.
