Responsibilities involve:
You will be responsible for the management of mobile logging in, including configuration, as well ensure all staff have an understanding and also fully compliant with ECM logging in/out. You will be involved in training staff on ECM usage and also monitor efficient functioning of ECM applications.
Measuring the quality of the service by carrying out with quality monitoring tools.
Reconcile and qualify unconfirmed calls, with the aid of the ECM system (Electronic Call Monitoring) and promptly liaising with staff
Ensure reconciliation is in line with care worker divisional timetable
Deliver welcoming customer service, dealing with general queries with a professional approach
General understanding of local authority contract demands, ensuring that the correct funds are applied to clients alongside with correct charge.
Thoroughly check that Care plan hours, purchase orders (local authority) and/or signed private contracts are all perfect order
Tracking and reporting un-submitted time sheets to branch manager
Liaising with the finance and operations team, providing accurate provision of information to enable timely and accurate information
Follow up ECM alerts, investigate unconfirmed visits, and document a daily check sheet on unconfirmed visit directly to the Care coordinators/Branch Manager
To ensure ECM is above 90% compliant
Monitor and ensure compliance of "planned" versus "actual" visits, directly reporting to Branch Manager
administers, monitors and supports internal/external networks, servers, email, database and security systems
configures and sets up new server systems;
schedules and performs system maintenance tasks, such as loading user applications, programs and data
analyses systems and makes recommendations to improve performance
identifies problems, agrees remedial action and undertakes emergency maintenance if required;
performs server backup and recovery operations and restarts systems following outages
acts as a liaison between users, outside suppliers, and other technical teams
Ensure Cyber Security Regulations are being followed and monitor and monitor and oversee compliance.
Ensure all service user calls are reported in a timely manner.
Identification of any late and or potentially missed service user calls.
Provide the Service Manager with reports as required.
Set up new care workers on the ECM system including issuing PIN numbers.
Participates in team meetings.
Undertakes training as required.
Provide general administration/Technical support to the Branch Office.
Be responsible for their own health and safety and ensuring a safe working environment for colleagues.
Successful candidate require:
Working knowledge of Rostering system for home care(Desirable)
Working Knowledge of People Planner or other care provider applications(Desirable)
Experience in administrative procedures of domiciliary care provider(Desirable)
Minimum of Three years experience as System Administrator/System Engineer(Mandatory)
Masters/Bachelors qualification in IT or related field
Great IT skills must include Word, Excel and Outlook
Great customer service skills
Excellent written and verbal communication
Basic administrative experience ideal
Desirable Skills:
Proficiency in Microsoft Office Suite
Hands-on experience with office equipment (e.g. fax machines and printers)
Professional attitude and appearance
Solid written and verbal communication skills
Ability to be resourceful and proactive when issues arise
Excellent organizational skills
Multitasking and time-management skills, with the ability to prioritize tasks.
