The Systems Administrator ensures Eureka! has secure, reliable, and efficient IT and digital systems. The role combines hands-on IT support with the management and development of key organisational platforms - including ticketing, EPOS, VoIP, Microsoft 365/SharePoint, CRM, HR, and finance systems. Working with staff and external providers, the postholder will keep systems running smoothly, ensure compliance with data and security standards, and support the charity's operations through training, advice, and continuous improvement.
Main Responsibilities:
IT Support & Infrastructure:
Act as the first point of contact for IT issues, escalating to external support where needed.
Oversee hardware, software, and networks, ensuring smooth operation and future planning.
Apply software updates and security patches on schedule.
Manage IT inventory, reallocating and tracking stock as required.
Monitor data and system security (firewalls, backups, server equipment, logs).
Maintain and support effective cyber resilience measures with IT support provider.
Systems Administration:
Co-ordinate the implementation and rollout of new ticketing and EPOS software.
Administer and support the VoIP telephone system (users, devices, troubleshooting).
Maintain and support our SharePoint environment (site structure, permissions, content).
Manage and support CRM, HR, Finance, and Time & Attendance systems.
Liaise with suppliers for upgrades, licenses, and cost-effective IT solutions.
Research and recommend system improvements or alternatives on an ongoing basis.
Ensure all systems are GDPR compliant and aligned with data security best practice
Training, Documentation & Compliance:
Devise and deliver training to staff in groups and one to one.
Create user guides, manuals, and process documentation.
Produce risk assessments for IT systems.
Keep up to date with current best practice in IT, GDPR, and data legislation, advising managers as needed.
General:
Occasionally work weekends/bank holidays to support system rollouts.
Travel to Eureka! Science + Discovery, Seacombe, when required.
Contribute to the IT Operations Group, supporting change and continuous improvement.
Undertake other reasonable IT-related duties as required.
Essential Skills & Attributes:

Pay: 28,000.00-30,000.00 per year
