As we continue to invest in our digital infrastructure, we are looking for an experienced and proactive

Systems and Data Controller

to lead and develop our internal IT systems, processes and reporting capabilities.

Role Overview



The Systems and Data Controller will be responsible for

developing the IT suite

ensuring best practice in systems on our hire package InspHire (Now known as Klipboard Onrent) Sage 200, HubSpot and any add on tools (Credithound, Phocus, Power BI) The role also involves working closely with operational and finance teams to optimise reporting and streamline processes through technology.

Additionally managing third-party IT providers, supporting users, training operators, ensuring data accuracy, quality, governance and security.

Key Responsibilities



Data Management & Reporting



Oversee

data integrity and quality

across multiple systems and departments. Oversee integration of systems Ensure best practices in terms of processes with the hire and sales process and asset management particularly regarding utilisation of InspHire. Training of InspHire users both in depots and at head office Lead the creation of standardised

management reports

, dashboards, and KPIs (e.g. hire utilisation, debt, fleet performance by sector, revenue, age etc). Work with finance, operations, and hire desk teams to consolidate and automate reporting to ensure one single version of the truth and remove the reliance of ad-hoc excel reports and islands of automation. Identify opportunities to improve workflows and timely decision-making using data including identification of new data fields. Monthly reporting to key stakeholders against the SLA Integrate acquisitions, new depot start ups

Project & Change Management



Lead or support IT-related projects including but not limited to new software implementations, cloud transitions, or system integrations and consolidations. Systems and data reporting implementation Production of accurate project plans, budgets, issues log & lessons learned documents etc ensuring that projects are delivered on schedule and that they meet the agreed objectives and business needs. Engage stakeholders across the business to understand technology needs and recommend solutions based on best of breed for the allocated budget. Promote best practices in data and systems usage across the group. Report progress on systems development and projects monthly to the board

Systems Management



Oversee and maintain core business systems, including

ERP

,

hire management software

,

fleet telematics

, finance

systems

(e.g. Sage) and CRM Manage and liaise with external IT support providers and software vendors, Ensure SLAs are met Ability to identify, assess and mitigate business risks including contractual liabilities and operational risks to ensure maximum system up time. Maintain and support Microsoft 365, SharePoint, Teams, InspHire and other productivity tools. Ensure IT hardware, networking equipment, and telephony systems are up to date and fit for purpose. Coordinate all external partners and ensure system upgrades, integrations, migrations, and rollouts. Develop and maintain system documentation and user guides.

Employee Management



Provide leadership, direction and supervision including mentoring and career development to ensure that individuals are trained and developed effectively to be able to carry out their roles, and that they are both mentored by called to task Manage personal and team workload, prioritising appropriately, setting targets and monitoring success. Performance and development reviews carried out on a regular basis using the organisation's performance and development process.

Security & Compliance



Work with external partners to ensure cybersecurity

policies

, including access control, backup procedures, social media, AI, and data protection measures for both local and hybrid/home users. Ensure compliance with

GDPR

and other relevant regulations (for example (PECR) Privacy and Electronic Communications Regulations)

Key Skills & Experience



Essential:



Proven experience in change management, ideally within a

multi-site or group organisation

. Broad knowledge of system, applications and operating systems with Strong working knowledge of

Microsoft 365

, databases (SQL or similar), and business systems. Patience and ability to train operatives to ensure a unified approach to the hire process Experience working with or overseeing

third-party IT providers

. Good understanding of

data reporting tools

(Excel, Power BI, Phocus or equivalent). Excellent communication skills with the ability to negotiate with and manage third parties. Excellent analytical and problem-solving skills coupled with confidence in decision making. Able to translate business needs into practical, cost-effective IT solutions.

Desirable:



Experience in

plant hire

, rental, construction, or logistics sectors. Familiarity with software platforms such as

Syrinx

,

InspHire

or similar hire/asset/rental management tools. Understanding of finance systems (e.g. Sage 50/200) and integration between systems. Awareness of ITIL principles and cybersecurity frameworks (e.g. CAF Cyber Assessment Framework or NIST).
