Job Purpose
This Project Administration Support role is to support the National Taskforce on Prison Welfare and Safety. This Taskforce is the governance mechanism established to oversee, coordinate and accelerate the implementation of urgent areas of work across SPS functions, predominately in relation to the recommendations for Fatal Accident Inquiries and other programmes as relevant.
Responsibilities

Develop and manage a project SharePoint/MS Teams site, with appropriate access to project team members, ensuring all project documents are uploaded with appropriate version control and are up to date. This will include the completion of the documents and/or the management of iterations, working in partnership with internal and external stakeholders to undertake this.



Provide support to the project/programme manager and wider project team in developing and presenting any necessary project reports and statistics.

Attend and provide secretariat support services for all relevant project meetings, other meetings as required and operate a deadline reminder system to support all actions.

Arrange meetings, both internal and external, when requested to do so by any of the project team and provide diary management in this regard.

Support document and data management and set-up the required structures and procedures for data management for each project.

Will proactively manage all required meeting room bookings, travel arrangements and any meeting catering requirements with the minimum of support and direction.

Proficient in the use of IT, particularly, MS Excel, MS Word, SharePoint. Have the ability to use information and Communication Technologies as effective business tools in a sensitive and confidential manner and have the ability to set-up and effectively manage individual SharePoint sites.

You are able to product clear and concise minutes and reports which accurately reflect the discussion and which are will structured and emphasises vital points. Excellent numerical skills and ability to interpret and compare a range of information.
