Job Purpose



To provide a seamless, supportive, and professional journey for all patients considering or undergoing treatment, ensuring clear communication, efficient coordination, and exceptional patient care. The Dental Treatment Coordinator (TCO) acts as the key link between patients, clinicians, and the wider dental team--enhancing patient understanding, satisfaction, and treatment uptake.

Key Responsibilities1. Patient Communication & Support



Act as the main point of contact for patients considering or undergoing treatment, particularly complex or private care (e.g. cosmetic, implant, orthodontic). Conduct consultations (in person or virtual) to explain treatment plans, expected outcomes, fees, and timelines in collaboration with the dentist. Ensure patients fully understand treatment options, consent forms, and associated costs (NHS vs private). Follow up with patients after consultations or treatment to answer questions and provide ongoing reassurance and support. Maintain confidentiality and professionalism in all patient interactions, in line with GDC and NHS Scotland standards.

2. Treatment Planning & Coordination



Liaise with clinicians to ensure treatment plans are accurately recorded and scheduled in the correct order. Coordinate appointments, referrals, and laboratory work to ensure treatments progress efficiently. Track progress of ongoing treatment plans, ensuring no delays or gaps in patient care. Manage communication between patients, specialists, and dental laboratories. Assist with treatment estimates, payment plans, and financial documentation where appropriate.

3. Administrative Duties



Maintain accurate, up-to-date patient records and documentation within the practice management software. Ensure compliance with all relevant regulations, including GDPR, NHS Scotland quality standards, and GDC guidance on consent and communication. Prepare reports on treatment uptake, conversion rates, or patient feedback as requested by the Practice Manager.

4. Marketing & Patient Experience



Assist with practice marketing initiatives, open days, and patient engagement events. Follow up with new enquiries or patients who have received consultations to encourage treatment progression. Promote the practice's services in line with professional and ethical standards. Contribute ideas to improve patient experience, satisfaction, and retention.

5. Compliance & Quality



Support the Practice Manager in ensuring all treatment coordination processes meet NHS Scotland and GDC standards. Keep updated on new regulations, guidance, and professional standards relevant to dental care in Scotland. Prepare treatment rooms with the necessary instruments and materials, ensuring all equipment is sterilized and ready for use. Assist dentists during a variety of dental procedures by handing instruments, managing suction, and providing support to ensure smooth operations. Provide compassionate patient care by explaining procedures, addressing concerns, and ensuring comfort throughout their visit. Maintain accurate medical documentation, including recording patient histories, treatment notes, and updates in dental records in compliance with HIPAA regulations. Monitor patient vital signs and observe for any signs of distress or adverse reactions during treatments. Adhere to strict infection control protocols by sterilizing instruments, managing waste disposal, and maintaining a clean clinical environment. Support administrative tasks such as scheduling appointments, managing patient records, and ensuring compliance with medical terminology standards.

Requirements



Proven experience as a Dental Nurse or in a similar healthcare support role with a focus on patient care. . Excellent communication skills to provide clear explanations and compassionate support to patients. Ability to work efficiently both independently and as part of a team in a fast-paced environment. Certification as a Dental Nurse or equivalent qualification is preferred; ongoing professional development is encouraged.
Job Types: Full-time, Permanent

Pay: From 14.50 per hour

Expected hours: 35 - 40 per week
