Our business is expanding, and we are looking to recruit a skilled administrator to support our management team in the successful delivery of our services. About the Role
Are you a highly organised and proactive individual with a talent for managing tasks and communications? We are seeking an experienced PA to provide high-level administrative support to the Management Team. This is an exciting opportunity to work remotely while delivering essential services that ensure the smooth running of our administrative function.
Role Purpose:
As a PA, you will offer comprehensive support to the Management Team, overseeing a variety of tasks, from managing diaries to organising travel, ensuring all operations are carried out efficiently.
Key Responsibilities:
Diary Management:
Schedule and coordinate meetings, appointments, and occasional events. Ensure there are no scheduling conflicts and that all preparations are completed in advance. Send follow-ups for appointments and deadlines.
Communication Handling:
Manage emails, draft and proofread correspondence, and act as the primary point of contact for internal and external communications.
Task and Project Management:
Organise and prioritise tasks, track project progress, and follow up on deadlines.
Travel Arrangements:
Plan and book travel, including flights, accommodation, and transportation, ensuring all arrangements are cost-effective and within budget.
Administrative Support:
Prepare reports, presentations, and other documents as required.
Confidentiality and Discretion:
Handle sensitive information with the utmost confidentiality, professionalism, and integrity.
Business Meeting Management: Maintain the schedule of regular internal business meetings, take notes and provide action lists. Organise quarterly off-site meetings, including preparing venues, circulating key information ahead of time and summarised meeting notes afterwards.
Key Requirements:
Good eye for detail
Proven experience as a Personal Assistant, Executive Assistant, or a similar role.
Familiarity with project management tools and communication platforms.
Excellent organisational and time management skills.
Strong written and verbal communication abilities.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and other relevant software.
Ability to think proactively and solve problems efficiently.
