Overview of the role:
This is a key role supporting the (team) Partners and wider team, providing an efficient and responsive level of support. The role will be responsible for complex diary management, travel arrangements, meeting preparation, production of documents, contracts, invoices and compliance items, and all other duties as required.
Key Responsibilities
Supporting the Office Manager and Team Coordinator where necessary.
Administrative support to the Partners and the wider team.
Assisting with the onboarding of new team members, including completion of service line inductions and updating distribution lists.
Assisting with the arrangements of complex travel requirements, preparing detailed travel itineraries and arranging visas.
Assisting with diary management - proactively organising internal and external meetings, ensuring timely and accurate communication to all.
Document preparation, formatting and QA, including presentations, reports, project profiles and CVs.
Support the Team Coordinator with ensuring the completion of service reviews, mandatory training and timesheets within a timely manner.
Supporting with the administration of external and internal Teams' sites - including monitoring usage, managing members, folders, documents, links, planners and providing best practice guidance.
Point of contact for system enquiries.
Providing training to the Partners and wider team with regard to business systems and processes.
Organising events for service and sector growth and related activities.
Organising internal activities and team socials.
Supporting other administrators where necessary and providing holiday cover.
Candidate Specification
Previous experience in an administrative role, ideally within the Construction sector for Consultancies.
High level of IT competency, MS PowerPoint (Graphics), Excel, Outlook and word.
Ability to use initiative and inject new ideas when preparing presentations.
Able to think proactively when arranging travel or diary management, considering the bigger logistical requirements.
Adaptable to quick/last-minute changes in diary, flexible, persistent and focused
High attention to detail and strong organisational skills
