Role Overview





We are looking for a Team Administrator to join our high calibre team responsible for delivering an extensive range of corporate secretarial and governance services to ensure that our clients' legal entities are compliant with local requirements. You will play a crucial role within the Global Entity Management Team, ensuring the consistent delivery of high-quality services by supporting client-facing coordinators, maintaining robust operational processes, and facilitating effective communication across teams. This role is essential for centralising and improving key administrative workflows, particularly with respect to purchase order management, invoicing, and client milestone tracking.





Job Role & Responsibilities





Work as part of a dedicated team to support client service delivery Work closely with coordinators to ensure all client needs are met, deadlines are proactively managed, and service delivery remains timely and reliable Support the accurate and timely processing of invoicing, purchase orders, and other financial tasks, ensuring all entries are recorded correctly in customer systems Centrally manage the purchase order process, including the creation and review of rebuild requirements, to drive efficiency and cost savings Support new proposal processes, including system and data management Support the operation of a robust quality assurance framework within the team to maintain high standards in service delivery and client satisfaction Assist with maintaining client records, and liaising with client-facing team members to ensure clear, consistent, and professional communications Take an active role in the management process of our global network of preferred vendors, including maintenance of document library, initiating contract reviews and negotiations, and maintaining accurate and liable data for the wider team Manage key areas of new client onboarding, including gathering KYC data, preparing draft contracts for global network firms, and set up of systems Maintain up-to-date and accurate records in customer relationship management and other internal systems, tracking milestones and key deliverables Identify opportunities to streamline administrative workflows, centralise tasks for greater accuracy, and support the implementation of best practices across the team



Essential Knowledge, Skills & Experience



Previous experience in an administrative or support role, ideally within a legal, corporate services, or professional services environment Strong organisational skills and a meticulous approach to quality assurance and data management Excellent written and verbal communication skills; ability to draft professional emails and liaise effectively with internal teams and clients Ability to identify process inefficiencies and contribute to continuous improvement initiatives Collaborative mindset, with the ability to support coordinators and work as part of a global team
