The Distribution Team Assistant role will be primarily responsible for supporting the UK & Lloyd's
Distribution Leadership Team, with high quality administrative and coordination support. This includes managing diaries, processing expenses, booking travel and assisting with the smooth delivery of day-to-day activities. This role reports to the Client Management and Proposition Director.

This is a varied and fast-paced role, providing broad exposure across the Distribution function. It offers an excellent opportunity for an organised and proactive individual to work closely with senior stakeholders, develop effective business support skills and contribute to the overall efficiency of the team.

What will your essential responsibilities include?

Provide proactive diary management and meeting coordination for the Distribution Leadership team. Manage complex domestic and international travel arrangements, including logisitics and itineraries. Process expense claims and monitor approvals to ensure timely submission and compliance. Support the organisation of internal and external meetings, including agenda preparation, minutes and action tracking. Support coordination and logistics of team events, offsites and internal meetings. Act as the first point of contact for internal and external stakeholders of behalf of the Distribution Leadership team. Provide support to the wider distribution team by assisting with adhoc tasks and admin duties as required. Maintain confidentiality and discretion when handling sensitive information. Use judgement to prioritise and escalate tasks appropriately.

Required Skills and Abilities:



Excellent organisational skills and abilitiy to manage multiple tasks and priorities. Proactive mindset with robust problem-solving and time management abilities. Influential interpersonal and communication skills, with the ability to build relationships across all levels. Proficient using Microsoft Office tools - Outlook, Word, Excel and PowerPoint. Ability to work efficiently with minimal supervision. Comfortable working in a fast-paced, changing environment with multiple senior stakeholders. Collaborative team player who supports and contributes positively to team culture. Resilience and flexibility to respond to shifting priorities and last-minute changes. Can handle confidental matters with professionalism.



Desired Skills and Abilities:



Previous experience in a Team Assistant or Personal Assistant role. Familiartity with expense and travel booking systems (Coupa, Concur, or similar).
