About the role

It's supporting the team to preserve a palace for future generations.

It's the sheer variety of the challenges you'll face. And it's providing extraordinary support for a unique purpose. This is part of what makes working for The Royal Household exceptional.

The Buckingham Palace Reservicing Programme is a phased ten-year programme to replace essential services, such as plumbing, cabling and heating, so that this iconic and historic building is fit for future generations. While work is underway, the Palace remains occupied and fully operational, hosting almost 100,000 guests and attracting over 15 million tourists every year.

With the programme now in its final two years, the established Programme Management team are focused on ensuring works complete on time and deliver expected benefits. As Team Co-ordinator, you will provide wide-ranging essential support to underpin day-to-day operations, playing a crucial role in the final stages of this prestigious programme.

Key Responsibilities

To provide administrative support to the team, including diary management, meeting coordination, minute taking, stock control, as well as maintaining electronic filing systems and document retention. Supporting the momentum of the programme you'll regularly prepare data and progress reports and monitor meeting action points. Responsible for consultant and contractor engagement activities, you'll work with colleagues to plan future events, arrange logistics and support briefings and site tours. Taking the lead on our security procedures, you'll ensure all contractors and other visitors are security cleared and onboarded, as well as coordinating deliveries. And as a key point of contact for the team, you'll regularly liaise with internal and external stakeholders and trouble shoot any queries that come your way.

It's a unique opportunity to develop your existing administrative skills in a fast-paced and interesting team where you'll be able to make an immediate impact.

About you

Essential Criteria

With some previous experience working in an office or operations support role, you'll have excellent administration skills and exposure to diary management. Your organisational skills are second-to-none, and you can work at pace and prioritise your workload to meet deadlines. You'll also have excellent written communication skills, and you'll be confident adapting your style to produce reports for a range of audiences. Computer literate, you'll be familiar with Microsoft Office and able to quickly learn new systems and programs. With a keen eye for detail, you'll be able to analyse and make sense of large amounts of data. Proactive, with a flexible, can-do attitude you're at your best working in a team, but you can also work independently to get things done. A confident communicator, you'll enjoy working collaboratively with internal and external colleagues.
