Role Overview
Reporting to the Technical Maintenance Manager this role will provide scheduling support across the whole fleets overhaul programme, management of the Asset Management System (AMS) and to support projects as and where necessary.
Principal accountabilities
Management of department processes should be in line with company expectations and ensuring consultation is completed with relevant process reviewers when adding, amending, deleting, and reviewing owned processes.
People Management

Responsible for management of Maintenance co-ordinator(s), including but not limited to Staff appraisals, setting objectives, personal development plans, regular 1-2-1s, team development and regular team meetings.

Lead and motivate staff to provide a working environment that encourages staff to perform to or above their expected standards.
Set clear expectations and objectives for the subordinate(s) and undertake constructive and purposeful appraisals, developing staff to reach their full potential.
Accountable for managing all subordinate employee relations (including disciplinary and grievance) when appropriate.
Maintenance Management
Management and change of Asset Management System (AMS), this includes CPS and any new system, related to Assets and Maintenance and technical records, working closely with the Assurance Team to ensure integrity of records and information is maintained. Management of the AMS system (fleet management, user permissions, adding and removing users).
Maintenance change management (reviewing and implementing maintenance change to any vessel or across multiple vessels) as a result of OEM, vessel, outcome of incident and accident investigations (outcome of PURE actions) or other initiated maintenance change.
Managing change of assets; adding / removing equipment to asset registers including adding, updating or removing planned maintenance jobs, adjusting / implementing / resetting operating hours counters and updating parts lists, adding and removing New and Disposed Vessels. Managing circulating assets onto and off vessels and into and out of Faulds Park and OEMs / Service agents.
Ensuring consistency of maintenance across the fleet, ensuring identical and similar equipment have the same and consistent maintenance.
Maintaining effective change control within current and future Asset Management Systems inclusive of data entry standards for the current and future systems.
Audit of maintenance completion, highlighting of overdue maintenance, management and approval of overdue maintenance. Liaison with Assurance team and Fleet Management Department to highlight any missed maintenance and resolve. Supporting shore audits of the vessel maintenance to support PMS Class notation where relevant.
Creation and subsequent management of the annual overhaul schedule, in conjunction with key stakeholders within CFL and externally with contracted yards through the supply chain team.
Management of the Life Saving Appliances, maintaining certification of all LSA equipment and ensuring they are maintained, deployed and replaced as required to support vessel certification. In conjunction with the Procurement Department, lead with the management of Survitec, and Viking Accounts, related to the overhaul scheduling and asset placement limitations.
Business Subject Matter Expert (SME) for Asset Management Technology and all associated workstreams that lead into and effective transition into the next generation system.
Training new joiners, shore and sea, in the use of the AMS.
Responding to queries and questions associated with maintenance (e.g., investigations into near misses and technical incidents).
Trend analysis associated with maintenance, maintenance overdue, defects trends resulting in changes to maintenance.
Supporting small vessel interaction with AMS to ensure they are able to manage, report and use the AMS system in the absence of qualified engineers.
Recording of obsolete equipment within the Asset Registers so that mitigation action can be taken.
Stakeholder Management
Liaison with relevant Chief Engineers to ensure they are aware of any maintenance changes.
Support liaison between the company, contractors, classification society and flag state as required on activities related to the overhaul schedule.
In conjunction with the Procurement Department, support the management of Survitec, and Viking Accounts, related to the overhaul scheduling and asset placement limitations.
Act as point of contact in the department for maintenance, provide advice, guidance and direction on all matters of engineering maintenance and Asset Management System escalating to Technical Maintenance Manager as required.
Participation and chairing in specified Operational meetings as directed by Technical Maintenance Manager.
Work collaboratively with the Fleet Management Department to ensure quality of service to ferry users, and maximising fleet performance, resilience and reliability by optimising maintenance regimes.
General Management
To support Continual Improvement processes and improve the processes and procedures for maintenance management, ensuring lessons are identified and learned post every event and shared and aligned with wider stakeholders.

Qualifications, skills, and experience
Essential
Experience of planning projects and co-ordination of maintenance activity, both planned and unplanned.
Experience of Utilising Maintenance Management Systems for complex assets.
Management experience or ready to take on management role.
Proven experience in all aspects of Microsoft Office applications.
Ability to deal with staff and build relationships at all levels both internally and externally.
Proven verbal and written communication skills.
Strong document, data and process management skills.
Ability to collate and report effective management information.
Desirable
Experience in commercial ship operations and management, sea going Marine (Deck) or Engineering background advantageous.
Experience in quality management systems, processes and procedures.
