Job Description

At Asap Cargo Ltd we specialise in freight logistics and have offices in the UK and Ireland working with industrial, retail and corporate clients nationwide delivering bespoke international freight management solutions.

Our service is built on global experience and hands on execution, from collection, storage, delivery, warehousing and onward distribution. We are looking for a telephonist/business administrator to complement our team based here in Larne, Northern Ireland.

The successful candidate will report directly to the Finance and Compliance Manager.

This dual role position offers a varied workload as you will be the first point of contact for visitors and callers, whilst also supporting with completing business administrative duties to include purchase ledger.

Reception Duties

Welcome and greet visitors to the office ensuring they sign in on arrival.*

Answer the telephone redirecting calls to relevant staff and/or recording of messages if required.*

Maintain the general tidiness of the reception area.*

Provide general administrative support to the wider team.*

Purchase Ledger and Business Administrative Duties

Recording, processing, and inputting invoices into the accounting system*

Investigate and resolve any invoice queries in a timely manner.*

File invoices and supporting documentation accurately for audit and compliance purposes.*

Maintaining accurate and up to date purchase ledger records.*

Support the finance team with ad hoc administrative projects as required.*

Ensure compliance with data protection policies always maintaining confidentiality of all financial information.*

Fire safety checks and supporting the Health & Safety administrative tasks of the business.*

Understandably, your communication skills need to be second-to-none. Computer literacy is essential to this position.

Essential Criteria



GCSEs including Maths and English Grade C or equivalent Strong IT skills, especially Word and Excel Professional and confident telephone manner Presentable, personable and approachable Strong organisational skills and the ability to multitask High attention to detail and accuracy Minimum 1 years' paid administrative experience Good understanding of GDPR
