Reporting to the Head of Timetabling, this role will manage aspects of the accurate and timely data collection process and the production of the teaching timetables across an administratively complex suite of integrated programmes, such as study abroad, undergraduate and postgraduate degrees. The timetabling department is a core centralised timetabling services function and serves the total needs of all academic programmes. This role will manage the day-to-day running of this function.
This role requires proactively managing tasks and conflicting demands, working to tight deadlines and proven organisational ability in all aspects of planning and timetable production, and will work closely and collaboratively with departments across the University. This role provides opportunities to take ownership of key responsibilities of the academic timetables.
This role requires an experienced Timetabler with excellent communication skills and to be a collaborative member of staff and a creative thinker. This role is supported by the Timetable Administrator who they will line manage, and together they are responsible for the functional delivery of the academic timetable.

Duties and Responsibilities

  • To take forward the design, production and delivery of the University's academic timetable, including classes, co-curricular and extra-curricular activities
  • Under the direction of the Head of Timetabling, to proactively develop the timetabling function and contribute to the improvement of the timetabling processes
  • To support the scheduling of the examination periods
  • To ensure timetabling processes across the full portfolio of programmes and courses are consistent and transparent
  • To ensure the timetable is accurate and timetabled as required by the programme and course specifications and be responsible for its quality checking
  • To support the Head of Timetabling on meeting the departments deadlines and implementing strategic projects and processes
  • To ensure the timetable data collection process is efficient and the data used for timetabling is accurate and up to date while seeking solutions to complex timetabling requirements
  • To ensure room resources adequately meet the requirements of the mode of delivery, which may be subject specific, but may also relate to the individual needs of the faculty and students, such as technologies in classrooms
  • To undertake regular data quality checks and reporting
  • To be proactive in collaborating with all other departments, such as academic colleagues, academic advising, registry, student life etc.
  • Ensure that University protocols and policies in relation to timetables are adhered to
  • Foster a positive work environment with a good team spirit, including the wider professional departments, with quality student services and student experience at the forefront of all efforts
  • To undertake appropriate staff development and training in line with organisational objectives
  • At certain times of year due to the academic year cycle and periods when workload is high, additional hours can be required outside of standard working hours.

Education / Qualifications
  • Bachelor's degree or relevant work experience required E
Experience
  • Experience with a variety of platforms e.g .Office 365 applications, virtual learning environments, student information systems etc. E
  • Experience and a proven track record of taking the lead in the construction, development and implementation academic timetables in a Higher educational setting E
  • Comprehensive use of timetabling software and developing or enhancing processes and solutions E
  • Use of CELCAT timetabling software D
Skills & Abilities
  • To operationally oversee timetabling procedures, systems and processes E
  • The ability and skills to understand, organise and process complex data sets with high attention to detail and accuracy E
  • The ability to adapt to changing circumstances and environments, demonstrating agility and flexibility E
  • Skills to assess and organise resources, plan and progress tasks, projects and implement improvement within area of own work E
  • Strong organisational and planning skills and able to manage varying workload through the academic year cycle E
  • Ability to manage and complete large and long-term tasks E
