Timetabling & Exam Support Officer



We are seeking a meticulous and analytical

Timetabling & Exam Support Officer

to take responsibility for the construction, management, and examination scheduling within our college's bespoke, dynamic academic framework.

This is a pivotal role in the academic operations of a college known for its

individualised approach to education

, where each student follows a

tailored programme of study

. As such, timetabling and exam coordination are not simply logistical functions--they are

personalised, adaptable, and central

to delivering a smooth academic experience for both students and staff.

Experience with

iSAMS

, particularly the Academic Management, Timetabling, and Exams modules, is preferred but not essential. Candidates with experience in other MIS platforms who are willing to train in iSAMS are also encouraged to apply.

About the Role



Working closely with the

Registrar

and the

Vice Principal Academic

, the postholder will be responsible for building and maintaining

individualised student timetables

that reflect each student's unique subject combination, learning needs, and programme of study.

In addition to bespoke academic timetabling, the role will include

supporting all aspects of exam administration

, including scheduling internal assessments and coordinating with the Exams Officer to ensure the successful delivery of public examinations.

Key Responsibilities



Timetabling



Design and manage

bespoke academic timetables

for individual students, adapting to subject changes, staff availability, and learning needs throughout the academic year. Input and maintain scheduling data within

iSAMS

, ensuring accuracy across subjects, staffing, and rooming. Collaborate with academic staff and pastoral teams to ensure timetables reflect student needs, including academic support. Identify and resolve timetable clashes and implement timetable adjustments with sensitivity and efficiency. Coordinate the scheduling of

internal assessments and mock exams

, integrating these into student timetables with minimal disruption to learning.

Exam Support



Work with the

Exams Officer

and Registrar to support the

planning, scheduling, and delivery of internal and external examinations

, including GCSEs, A-levels, and other qualifications. Assist with the creation and maintenance of

individualised exam timetables

for students, ensuring alignment with academic timetables and room availability. Provide data and logistical support for the

seating, rooming, and invigilation planning

of examinations. Ensure exam-related information is communicated clearly to students and staff, and assist in managing any last-minute adjustments or student needs. Liaise with teaching staff to align assessment dates with curriculum progress and learning goals.

Academic Data & Reporting



Compile accurate academic data to support

internal analysis, performance reporting

, and curriculum planning. Work closely with the Registrar to provide data for

DfE and ISC census submissions

, track student attendance and progress, and ensure regulatory compliance. Produce and interpret data reports relating to

curriculum delivery, student grouping, staffing

, and

resource allocation

. Contribute to the analysis of examination results and outcomes to support academic review and planning.

About You



Proven experience in

academic timetabling

and/or

examination scheduling

, preferably in a college or university setting. Familiarity with MIS systems--

iSAMS

preferred, though training will be provided. Strong

Excel

and data handling skills, with excellent attention to detail. Calm, solutions-focused mindset and the ability to think clearly under pressure. Strong

interpersonal and communication skills

, with a collaborative and professional approach. An appreciation for the demands and rewards of working in a
