Admin Assistant for Timetabling

As an Admin Assistant for Timetabling, you'll play a vital part in ensuring our tuition provision runs smoothly. You will coordinate timetables, communicate effectively with families and tutors, and support the wider team to maintain an efficient, responsive service.
We're looking for someone who is organised, confident communicating with others, and able to balance multiple priorities with accuracy and professionalism.

Qualifications & Experience
Essential:
NVQ Level 2 (or equivalent) in Business Admin, Customer Services, or a relevant subject
Experience working in an administrative setting
Desirable:
Experience within an education environment
Knowledge of safeguarding responsibilities
Understanding of GDPR and confidentiality requirements
Knowledge & Skills
Ability to produce clear, professional documents and emails
Strong attention to detail and the ability to manage competing tasks and deadlines
Excellent verbal communication skills, including confident telephone manner
High standard of written English, including grammar and sentence construction
Strong IT skills, including Microsoft Office
Ability to plan, prioritise and manage workload effectively
Desirable: ability to design spreadsheets/databases & identify anomalies or issues

In this role, you will:
Support Timetabling Across the Education Service
Plot regular sessions for young people and tutors, adapting the timetable as needed
Maintain oversight of tutor availability and pupil cancellations
Arrange cover and make necessary schedule changes
Communicate updates to tutors and families clearly and confidentially
Provide case information to covering tutors where appropriate
Support the Smooth Running of the Service
Develop a clear understanding of the service to answer queries from parents, tutors, or staff
Add and maintain pupil records within the CF MIS system
Acknowledge and file key documents securely
Deliver an efficient, young-person-focused administrative service
Support Effective Communication and Team Working
Respond to and resolve queries to a high standard
Contribute to team meetings and collaborative problem-solving
Provide cover for timetabling colleagues when required
Please note: This is not an exhaustive list, and responsibilities may evolve to support the needs of the service and the direction of Education Managers.
Working Pattern
:
40 hours per week - 8:30am to 5:00pm (8:00am to 4:30pm on Fridays)
Working 52 weeks per year
Salary
: 28,300.00 per annum
