To supervise traffic administration activities, lead and motivate the team whilst providing excellent administrative support.
JOB PURPOSE:
To build jobs accurately in our Traffic Management System (TMS), ensuring all rates, vehicles details and special instructions are visible for the Traffic Allocation Team and the drivers. Deal with customer enquiries, scanning order requests into the TMS. To assist the Senior Traffic Operator with the day-to-day operation of transport logistics and planning to ensure an outstanding service to our customers.
RESPONSIBILITIES / ACTIVITIES:
Operational
Accurately building jobs in the Traffic Management System (TMS), ensuring all rates, vehicle details, and special instructions are visible to the Traffic Allocation Team and drivers
Responding to customer calls regarding their delivery enquiries
Handling job inquiries from drivers over the phone and informing them of their next assignment, then dispatching the details to their PDA
Sending advance notifications for customer deliveries completed by subcontractors.
Scanning all order requests into the system's jobs and ensuring a comprehensive audit trail of any amendments made
Adapting to ever-changing priorities according to present needs
Take the lead in handling all admin customer enquiries
Responsible for reviewing all Road Operation admin processes in accordance with the Group's Continuous Improvement policy
New Driver Administration
Configuring drivers in the TMS, reallocating trucks, and managing customer-specific permit passes.
Driver support, including setting up company emails, tablets for new drivers, and resolving ongoing issues.
Provide support for any new projects.
Assist the Quality and Traffic teams in ensuring that addresses and route reconnaissance details are current.
Perform any other reasonable duties as may be required from time to time.
Required Experience
Supervisory experience, the ability to lead a team and work collaboratively.
Able to accept responsibility for tasks undertaken and adapt to shifting priorities while motivating and leading a team.
Ability to multitask and prioritise work during busier periods.
Problem-solving abilities and flexibility in planning
Ability to meet deadlines with a strong focus on accuracy.
Excellent Microsoft Office skills, especially PowerPoint and Excel. Skilled in creating, cross-referencing, adding formulas, and performing look-ups with great attention to detail.
