Job Description

An established and respected law firm is seeking a proactive and detail-oriented Trainee Legal Secretary to join its Private Client team. Working under the guidance of a Senior Legal Secretary, the successful candidate will provide vital administrative, typing, and organisational support to fee earners, ensuring a smooth and efficient delivery of services.
Key Responsibilities

  • Provide typing, secretarial and general administrative support to the Private Client team under the supervision of a senior team member
  • Transcribe and prepare legal correspondence and documents via digital dictation and word processing, using firm precedents where appropriate
  • Operate the case management system and electronic filing tools, ensuring accurate and organised document storage
  • Use a range of software including PDF Docs, Docusign, I-Manage and Elite-3E (full training provided)
  • Manage incoming and outgoing communications - including scanning, e-faxing, and post management
  • Assist with client file management, from opening through to closure, including accurate digital filing and document handling
  • Meet and liaise with clients, either in person or by telephone, maintaining a friendly and professional manner
  • Learn how to operate internal systems such as Records Management and document archiving
  • Provide ad-hoc support to other departmental secretaries and contribute to team compliance as needed
  • Participate in relevant training and development, including legal secretarial courses and in-house learning sessions
  • Be a flexible team player, supporting colleagues in other areas when needed
  • Maintain full confidentiality and a strong understanding of legal procedures and compliance protocols
Department-Specific Duties
  • Binding and sewing of wills and important legal documents
  • Prepare documents such as Wills, Codicils, Living Wills, LPAs, Deeds of Revocation and Deputyship Orders
  • Assist with Land Registry forms and searches
  • Learn the basics of estate administration and related documentation
Skills & Experience
  • Willingness to learn and a proactive, can-do approach to tasks
  • Previous experience in a secretarial or administrative role preferred
  • Familiarity with digital dictation tools is an advantage but not essential
  • Good computer skills and confidence using Microsoft Office suite
  • Excellent attention to detail, especially with spelling, grammar and formatting
  • Strong communication skills, with the ability to stay calm under pressure
  • Ability to prioritise tasks and manage time effectively
  • A collaborative mindset with a desire to contribute to a team-focused environment
