The Role
We are looking to hire a highly driven candidate to join our successful Residential Conveyancing department in Dundee.
As a Trainee Paralegal/Secretary at Gilson Gray you will provide secretarial assistance to residential conveyancing solicitors and paralegals using word processing and other technical skills in order to meet the needs of both internal and external clients. The role will also allow you to train as a Paralegal, gaining a valuable qualification.

Applications are invited from candidates who have previous experience of working within a conveyancing department, and possess a full range of secretarial skills. Previous experience of using a case management system would also be beneficial.
Main duties:
Uploading AML documents
Prepare applications for registration
Order Redemption Statements
Order multi-search from PSS and nearer settlement, order updated searches
Prepare the Standard Securities, Disposition, Discharges and LBTT
Lodge Advance Notices
Update LMS
Keep track of discharges received and register them
Send the updated title sheet to lender, client and other party's solicitors
All dictation tasks and day to day general correspondence
Answer telephones and keep clients up to date
Use the case management system, Lawpro
Completing all allocated tasks and day to day general correspondence
Use of LawPro, our case management system
Diary management
General administration support
Required Knowledge and Experience
Previous experience of working within a conveyancing department is essential;
You will be an experienced secretary with the full range of secretarial skills;
You will have previous experience of using a case management system;
Our ideal candidate would also:
Have excellent social and interpersonal skills dealing with clients.
Possess experience in making quick, informed decisions throughout the process whilst keeping clients up to date throughout.
Take pride in producing high quality, accurate and timely information whilst maintaining personable and informative communication.
Show excellent verbal and written communication skills.
Ability to work as part of a large team and contribute to the overall business aims.
Possess strong drive and willingness to succeed within a competitive environment. A pro-active forward-thinking approach is required.
The ideal candidate must possess strong organisational and problem-solving skills.
Strong willingness to progress within the firm.
