Location: Glasgow Head Office, near Kinning Park underground, street parking available
Position Type: Permanent, Part-Time, 4 hours per day 5 days per week
Training & Consultancy Support for 6-10 staff

The Role


Due to internal promotion of existing staff, ACS Learning & Consultancy are seeking a highly organised and proactive Training Coordinator to support the delivery and administration of our growing training portfolio.
This is a key support role within the business, ensuring our health and safety training courses are scheduled, coordinated, and delivered smoothly, efficiently, and in line with compliance standards such as UKATA and IOSH. You will manage multiple systems, maintain accurate records, and act as a main point of contact for training enquiries, clients,
delegates, and trainers.
For the right candidate with the appropriate skill base full internal training will be provided.
This is a varied, fast-paced position suited to someone who thrives on organisation, attention to detail, and being at the centre of operations.

Key Responsibilities


Training Administration & Coordination

Answer telephone calls, presenting as a first interaction with clients, as a 'voice' of ACS ensuring a friendly and competent experience for telephone interactions Liaise with ACS Trainers to co-ordinate diaries and ensure efficient use of trainers' time and skills Send booking forms to clients and process returned forms Monitor and update Eventbrite for course registrations Respond promptly to training enquiries Schedule and coordinate courses, including managing trainer calendars Send joining instructions and Zoom links to delegates ahead of courses Organise course handouts and assessment papers for face-to-face courses Ensure training runs smoothly through effective support of trainers Issue costing sheets for training to the finance department
Systems & Records Management

Update and maintain records across multiple platforms:
o Excel (Training Schedule)
o MS Word (Delegate lists)
o Zoho CRM (Client records, reporting, cash flow tracking)

Manage delegate records, attendance and communications Maintain accurate training records for compliance and audits taking GDPR into account Track course attendance and produce reports on bookings and engagement
Compliance & Quality

Ensure trainers update courses to ensure ongoing compliance with relevant accreditation bodies Produce certificates and send post-course documents and feedback forms Monitor and report on course feedback to support continuous improvement Assist with updating or developing training materials
Client Support & Marketing

Prepare and send quotes to clients Schedule email reminders and campaigns using Zoho Campaigns Support marketing initiatives to promote courses Liaise with external venues and suppliers when required Support invoicing processes and payment follow-up as needed
Essential Requirements

Strong organisational and administrative skills Excellent attention to detail and ability to manage multiple priorities Confident communicator - written and verbal Strong IT skills including MS Office (Excel & Word essential) Ability to work independently and as part of a team Proactive, flexible and solution-focused attitude Experience in a training, admin, or coordination role (desirable)
Desirable

Experience using CRM systems (Zoho preferred) Knowledge or experience working within H&S or training environment Familiarity with UKATA or accredited training environments Experience using Eventbrite or similar booking platforms
