We are looking for a proactive and detail-oriented Transport Administrator to support our busy transport department. This role is critical to ensuring the smooth operation of our delivery processes, vehicle compliance, and administrative accuracy. The ideal candidate will have strong Excel skills, excellent problem-solving abilities, and a keen eye for detail.
As the Transport Administration, you will be part of a team that ensures the efficient day to day running of fleet. Reporting to the Logistics Manager, you will be part of a busy but cohesive team.
Hours of work between 8am - 16:30pm Monday to Friday (30 minutes unpaid lunch)
Key Responsibilities:
To provide and maintain a high standard of support within the busy office environment
Receiving inbound calls from drivers or customers
Providing operational support to colleagues and Managers by:
Collating, recording and reporting information as required for a safe, smooth, efficient Delivery Service operation. Maintaining all relevant systems so they are accurate and used to their full effectiveness.
Managing and keeping our Driver Training Matrix and records up to date.
Working closely with the Logistics Manager & Compliance Manager to ensure an efficient running shift.
Delivery Tracking & Customer Service Support:
Communicate with the Customer Services team to provide real-time updates on delivery progress and resolve issues promptly.
Driver & Vehicle Administration:
Maintain accurate driver logs, spreadsheets, and records of hours, vehicle allocations, and delivery performance.
Data Analysis & Reporting:
Use Excel to run, interpret, and present transport reports (e.g., delivery performance, fuel usage, delays, etc.), identifying trends and areas for improvement.
Vehicle Inspections & Compliance:
Help coordinate and conduct regular vehicle inspections; ensure all vehicle documentation and compliance records are complete and up to date.
Camera Footage Reviews:
Conduct routine checks on in-vehicle camera systems to review incidents and support driver training and compliance.
Documentation & Record Keeping
:
Ensure all transport-related documents are accurately maintained and filed, including licenses, inspection logs, and insurance details.
Problem Solving & Issue Resolution:
Triage and troubleshoot operational transport issues quickly, using sound judgment and escalating when necessary.
Skills Required:
Excellent communication skills to engage with customers and colleagues
Can do approach and attitude
Previous experience in an administration role is essential.
Logistics experience preferrable
Experienced in the use of Microsoft packages
Microsoft Excel skills (lookups, data analysis, reporting) pivot tables, desirable
Strong organizational and multitasking abilities
High attention to detail and a proactive approach to problem solving
Experience with logistics or transport management systems (desirable)
