Transport Administrator

to support the day-to-day running of our transport operation.

This role plays a central part in keeping our General transport and Palletforce operations running smoothly by supporting driver compliance, documentation, systems administration, reporting and live operational problem-solving within a fast-paced transport environment.

Key Responsibilities



Transport Administration & Compliance



Complete driver infringement debriefs and escalates issues where required. Upload tachograph printouts and training reports into Tru Documents. Take minutes at weekly compliance meetings. Ensure accurate and timely processing of weekly driver timesheets. Maintain driver licence checks via Tru Licence, including monitoring CPC validity. Manage driver onboarding/offboarding on systems such as Microlise, TruTac, and FORS. Support TruTac system queries and compliance-related questions from office staff. Conduct six-monthly driver eye tests and support FORS/SUD training compliance. Maintain driver digital folders, compliance records and all required documentation.

Palletforce & Traffic Desk Operations



Debrief daily driver run sheets for Palletforce and general runs. Check run sheets for waiting times not reported. Process and print collection requests from other Palletforce depots. Allocate night trunk units and trailers; compile night trunker folders. Download, upload and file all trunk photos and required documentation. Manage Alliance system tasks including: Monitoring discrepancies Missing scan reports Deleted/NPC job checks Marking trunk departures Sorting red flags Produce daily outbound totals, capacity reports and other required Palletforce reporting. Manage collection requests for other depots and maintain daily Forest of Dean collections report.

Operational Support & Daily Issue Resolution



Assist with inbound phone traffic and provide solutions to operational issues (e.g., waiting times, incidents, routing). Ensure vehicle incident DVRs are downloaded, actioned and recorded appropriately. Ensure accident reports are completed correctly within Tru Checks. Support live traffic issues as they arise during the day. Update and maintain key operational files including vehicle, trailer and on-call calendars.

Driver Support & Site Administration



Train new drivers on relevant apps and systems. Ensure all required forms and materials (RTW, timesheets, uniform forms) are kept stocked. Create and maintain induction packs and training materials for new starters. Label and maintain driver pigeonholes; print and allocate Palletforce labels. Manage uniform stock and ordering. Process and upload cost-recovery letters and PCNs in line with company guidelines. Scan, file and maintain all training records in Tru Time/Tru Documents.

About You - Essential Requirements



Strong organisational skills with the ability to manage a high-volume workload. Excellent attention to detail and accuracy in administrative tasks. Confident in working with multiple systems and digital platforms (e.g., Microlise, TruTac, Alba). Good understanding of UK & EU driver hours and Working Time Directive rules. Strong communication skills and the ability to work effectively with drivers, planners and wider operational teams. Problem-solving ability with a practical mindset and a customer-focused approach. Ability to work under pressure in a busy traffic office environment. Willingness to participate in occasional weekend on-call duties.
