Job Description

G Transport is a specialist vehicle transport business, moving high-performance and unique vehicles for events, track days, film productions and private clients across the UK and Europe. We also provide a nationwide home delivery service for car manufacturers and private individuals.

We are seeking a

Transport Administrator / Office Manager

to take full responsibility for the administration and support services of the business during a

12-month fixed-term maternity cover

.

This is a varied, hands-on role with a strong

finance and bookkeeping focus

, alongside responsibility for HR administration, IT liaison, facilities management, and support with overseas logistics and customs. There will also be opportunities to contribute to projects such as implementing new systems and improving processes.

This role will suit someone who enjoys problem-solving, working independently, and embracing a wide range of responsibilities.

Key Responsibilities



Finance

Responsibility for all bookkeeping and day-to-day finance tasks Posting supplier invoices onto the accounting system with accurate nominal coding Processing supplier payment runs accurately and on time Raising sales invoices and liaising with customers to resolve queries and ensure timely payment Preparing employee wages and processing employee expense claims Completing daily bank reconciliations Preparing and submitting VAT returns Supporting the Managing Director and Operations Manager with financial reporting and analysis

Administration & Office Management

Managing administration related to recruitment, job offers, and employment contracts Tracking staff holiday entitlement Maintaining company policies, procedures, and employee handbook Acting as the main point of contact for IT issues and liaising with outsourced IT support Answering office telephone calls and routing them appropriately Facilities management, including arranging cleaning, maintenance, and managing office and parking areas Purchasing office supplies and other business-related items Assisting the planning team with overseas logistics and customs administration Providing ad-hoc administrative support to other team members as required

Person Specification



This role works closely with the Managing Director, Transport Manager, customers, and drivers, so strong communication skills and adaptability are essential.

Essential:- Bookkeeping or finance experience - Experience using accounting software (e.g. ClearBooks or similar) - Excellent attention to detail and accuracy - Strong organisational skills with the ability to prioritise effectively - Ability to work independently and as part of a small team - Confident written and verbal communication skills

Desirable: - Experience within transport, logistics, or customs

Contract & Working Pattern



Full-time, office-based and onsite role 12-month fixed-term contract (maternity cover) Applicants seeking part-time hours or school-hours over five days will be considered, subject to experience
