Monday to Friday, 08:00 - 17:00 (1-hour lunch)

Job Purpose



We are seeking a highly organised and detail-focused Transport Administrator to support our Transport Planning team. This role is crucial in ensuring accurate data entry, efficient job management, and seamless coordination of transport operations. The ideal candidate will have strong administrative skills, the ability to multitask in a fast-paced environment, and a keen eye for detail.

Key Responsibilities



Job Creation & Data Entry:

Accurately create and update jobs within the system for the planning team, ensuring all transport loads are correctly logged.

Failed Load Reporting:

Generate and distribute failed load reports, liaising with the planning team to ensure swift resolution.

Daily Rate Input:

Input WST rates into the system each morning with precision and accuracy.

Rebooking & Scheduling:

Manage the rebooking of failed loads and ensure transport schedules are updated accordingly.

Inbox Management:

Monitor and categorise the department inbox, forwarding emails to the relevant teams promptly.

Customer Communication:

Provide professional and timely responses to customer inquiries via email and phone, ensuring all updates are communicated effectively.

Late Load Coordination:

Inform customers of any late loads, maintaining accurate records of notifications.

Load Completion Verification:

Review system records daily to confirm all transport jobs are completed as scheduled.

Load Planning:

Assist in building efficient and cost-effective loads to maximise truck capacity.

Customer Portal Management:

Regularly check and update customer portals with new and completed loads.

Issue Resolution:

Investigate and resolve customer or transport-related queries efficiently.

Demurrage Reporting:

Maintain and distribute the daily demurrage spreadsheet to key stakeholders.

Key Skills & CompetenciesAdministrative & Organisational Skills



Highly proficient in data entry with strong attention to detail. Ability to prioritise workload effectively and meet deadlines. Strong organisational skills to maintain accurate records and documentation.

Communication & Teamwork



Clear and professional written and verbal communication. Confident in liaising with internal teams, transport planners, and external customers. Works collaboratively within a team-oriented environment.

Customer & Operational Focus



Ability to handle customer inquiries efficiently and professionally. Proactive in identifying and resolving transport or administrative issues. Committed to maintaining high service standards.

Experience & Requirements



Previous experience in a transport administration, logistics coordination, or data entry role is desirable. Strong proficiency in Microsoft Office, particularly Excel and Outlook. Excellent problem-solving and multitasking abilities. Ability to work under pressure in a fast-paced setting. Confident phone manner with strong email etiquette.
